The Administrative (Executive) Staff Assistant will receive assignments from and report to the OCFS Deputy Commissioner of the NYS OCFS Division of Information Technology

The Administrative Staff Assistant will :
o Prepare speeches and supporting material for executive staff
o Participate in and make presentations at meetings, seminars, and conferences
o Prepare written materials including letters, work plans, and procedures
o Administer communications by preparing and keeping track of correspondence and answering questions from staff, the public, and elected and appointed officials
o Represent executive and management staff at meetings, hearings, and conferences and on committees
o Coordinate activities of the work group implementing High Performance Organization (HPO) processes, terminology and values within the IT Division
o Prepare reports, narrative and tabular, about program activities
o Assist in preparing and administering the annual budget and financial plan and may prepare and manage the plan for a program
o Assess annual financial needs and proposals
o Discuss and clarify proposals with program managers
o Obtain and develop information to plan, prepare, and justify proposed and projected expenditures
o Answer questions and provide information to financial administrators, the Division of the Budget, and the Legislature
o Prepare an expenditure plan after the budget has been approved and modifies the plan as program needs change
o Maintain financial records to monitor and control expenditures
o Prepare and evaluate expenditure and other financial reports
o Prepare grant applications and administer approved grants
o Perform other duties as assigned

Qualifications:
Required-
Highly effective communication skills. Fluency in MS Office including PowerPoint. The ability to work independently with minimal supervision. Strong organizational and problem-solving skills. Bachelor’s degree with a minimum of three years working within an administrative work environment

Preferred-
Experience working on financial or budget-related assignments
