Under the direction of the Director, Communications, provides support services for the Communications Department. Responsible for a myriad of responsibilities ranging from routine administrative tasks such as answering phones and making copies to coordination of special events, meetings, presentations, public hearings and press conferences.

Responsibilities include but are not limited to:
1. Provides a wide array of administrative responsibilities including preparing and typing correspondence, answering telephones, copying and filing, generating and processing forms, invoices and reports, and securing membership and publication subscriptions. Responsible for creating a variety of databases and spreadsheets. Processes incoming mail; screens, prioritizes and routes mail and faxes as appropriate.
2. Screens visitors and incoming calls, personally handling matters which do not require direct involvement of Communications staff.
3. Maintains, prioritizes and arranges meetings, conferences, press conferences, and appointments; coordinates travel arrangements and processes expense reports; and prepares needed background materials for meetings with staff, media, vendors, Service Boards (CTA, Metra and Pace) and other key external stakeholders. Responsible for logistics including room set-up, equipment needs, coordination of public notices in newspapers and making copies of presentations and handouts.
4. Provides administrative support for agency presentations and RTA Board meetings.
5. Compiles and distributes daily online news clips consisting of print/broadcast media coverage and transit news from third party sources. Posts news clips on RTA Intranet. Periodically issues press releases to the media as needed.

The ideal candidate must possess a minimum of five (5) years of administrative assistant, office management or related experience, preferably reporting to an executive. Experience working in government or the transportation industry is helpful. Project management experience is desirable. Must have the ability to work well with others and in a team environment but also be productive with minimal supervision. Must be able to effectively multi-task in an organized, efficient and timely manner; exercise sound judgment, discretion and maintain confidentiality, be adaptable to change and demonstrate initiative. Ability to meet deadlines and prioritize work is essential. High level of proficiency in Microsoft office (Microsoft Word, Excel, PowerPoint, Access) required.
