Administrative Assistant, Global Marketing - (US-NY-NYC )

The Online Administrative Assistant assists the Executive Director of Customer Service in managing the daily business of Online Customer Service. The role includes the coordination of payroll and expenses for all Online Customer Service employees and providing support.
NEW HIRE/TERMINATION PROCESSING:
Process New Hire/Termination paperwork and send information to appropriate departments.
Update and maintain staff salaries spreadsheet.
Update and maintain Employee Status forms.
WEEKLY PAYROLL/EXPENSE REPORTS:
Manage weekly payroll process to include:
Process and submit expense reports for remote team.
Maintain master spreadsheet of monthly cable/DSL fees.
Maintain documentation of payroll processes.
Field all payroll inquiries from team.
OFFICE ADMINISTRATION:
Order pantry and office supplies (weekly).
Book hotel, flights and car for trips taken by management team.
Coordinate office maintenance with building maintenance and office services.
PROCESS RECOGNITION PROGRAMS AND GRATIS:
Execute fulfillment of the Bloomin¿ Sales incentive program.
Execute fulfillment of the Gratis program.
VIP Recognition Program ¿ fulfillment of team and individual awards.
Coordinate and assist with team or department recognition luncheons.
BRAND INFORMATION:
Obtain marketing and education tools/documents from each brand and coordinate mailings of materials to team.
Create and distribute makeup swatch sheets for all new color products.
Distribute department resources to new hires.
COORDINATION OF MEETINGS/CALENDARS:
Book meetings and conference rooms for team meetings/status meetings.
Schedule seasonal overviews and training with the E-Commerce team.
Compile and maintain CS department calendar of projects/initiatives.
Lunch/Catering arrangements for major meetings.
PUBLISHING:
Assist with the Layout of Department Newsletter-Vision Chronicles.
Obtain photos/Scan photos/create files.
DATA ENTRY:
Assist Content Administrator with maintaining email management and chat application database of customer responses.
Skills:
Position requires 3+ year's related experience in administration or corporate environment. Payroll responsibilities preferred.
Excellent communication skills, written and oral.
Ability to work within a team and manage multiple tasks.
Positive attitude and professional demeanor.
Strong problem-solving skills.
Ability to remain flexible.
Advanced skills in Windows, Excel, Word, Outlook, PowerPoint, MS Project and data entry systems.
Familiarity with Estee Lauder Companies internal payroll, travel and expense systems and procedures preferred.
