Resources Law Group, LLP (RLG), is a solution-oriented partnership providing legal and consulting services in the areas of conservation, land use planning, and the restoration of natural resources. The Administrative Assistant will provide support to attorneys and staff. The position is non-exempt, reports to the Managing Director, and its duties are as follows:

• Organize and schedule meetings and appointments with occasional, select assistance from other staff members. Maintain calendar and coordinate calendar with those of other staff and client contacts as needed. Arrange travel.

• Act as administrative secretary, including emptying out-boxes, responding to routine inquiries, typing and composing general correspondence, memos, and summaries of various documents.

• Work with other staff to research, prepare and assemble relevant correspondence, reports and materials for meetings and presentations. Ensure that meetings and phone calls are well prepared for, have clear agendas, completed timelines, necessary materials, and that all information is circulated to meeting participants well in advance.

• Balance multiple tasks, duties and responsibilities assigned by the attorney(s) and staff supported. Communicate time limitations and priorities clearly and directly.

• Remain flexible and adaptable in communication and working style to effectively and efficiently support staff of differing personalities, communication and working styles.

• Coordinate schedules, track delegated assignments, and monitor all deadlines to ensure timely completion.

Skills:
Knowledge, Skills and Abilities:

• Excellent word processing skills, including demonstrated expertise with Microsoft Word for Windows, Excel, Outlook and PowerPoint. Ability to interact and maintain BlackBerry interface with Outlook scheduling and contacts. Firm understanding of document management system, Worldox.
• Bilingual in Spanish and English preferred (not required).
• Ability to set up a laptop and projector in preparation of a meeting requiring the use of such equipment.
• Ability to perform tasks with a high degree of accuracy and attention to detail, as well as anticipate informational needs as situations and projects develop. Ability to focus on details of a task or project as well as its broader objectives and implications.
• Strong written and oral communication skills to ensure full-circle communication with staff and “outside” participants through effective and thorough dissemination of important documents, tasks, projects and meetings.
