The candidate should possess the ability to think strategically, be an excellent planner, be able to prioritize and possess strong writing and communications skills. The candidate should be excellent on problem solving and creating solutions; the candidate must be forward thinking and pro-active. The candidate should be self-starting, resourceful, intuitive, highly-organized, flexible and should work well in a team environment.
Affability, approachability and well-developed ’people skills’ are essential for success in this position. Foreign language (non-English) skills are a plus. Experience working with PR firms, on capital campaigns, with legal teams, etc. is a plus. The candidate must be fluent with the Microsoft Office suite of programs and comfortable producing charts and research reports.
The Institute is currently in expansion mode and the Founder/Chair is the lead executive / strategist on this expansion. The Executive Assistant will play an essential role in managing aspects of the Founder/Chair and Institute’s current and future projects and will act as primary liaison between the Founder and all incoming and current personnel, contacts and projects. For this the candidate must be extremely organized and possess the ability to manage many and diverse projects simultaneously. The candidate needs substantial experience supporting a high-level executive in a fast-paced environment. Typically each day is filled with multi-tasking and can be of 9-13+ hours’ duration.
The Executive Assistant will take on and manage personal work for the founder such as scheduling medical and legal appointments, interfacing with household staff, coordinating travel, keeping detailed records, as well as personal care appointments: fittings, hairdressing, etc. This ’personal’ work will constitute approximately 25% of the candidate’s time.
As the candidate will be one of a small, core team in a very fast-paced environment, it is important that the candidate maintains focus and manages many tasks within the framework of a multidisciplinary organization. The candidate should be at once confident and forthright while maintaining the understanding that their role is to support and facilitate the business and personal aspects of the chair’s life. Preferred are candidates who worked directly with CEOs of corporations, presidents of universities, within the State Department, etc.
