1. Maintenance Program: Oversee vehicle service and maintenance program for 7 vehicles through effective tracking and use of local vendors in the Greater Boston area. Coordinate vehicle repairs, towing, and service with vendors and monitor their work quality and cost.
2. Vehicle Inspections: Coordinate and ensure successful completion of 7D van inspections (twice a year) with drivers and appropriate state agencies.
3. Routing: Develop and maintain routes by using the computer program MAPPOINT. Perform periodic route audits (random & announced) looking for operational efficiencies and cost reduction, i.e. reduction of out of route miles, minimize driver payroll (overtime), maximize driver productivity, evenly distribute stop counts, among others. Process Transportation Intake forms by assigning children to driver and route (s) and communicating details with driver (s) and clients.
4. Customer Service: Maintain day to day communication with staff, drivers, parents, Coordinators, Providers, and schools to ensure they are aware of driver and route changes. During snow days or holidays, keep drivers informed of schedule changes and or cancellations. Be able to effectively communicate in the English language and have a good grasp of Spanish.
5. Conflict Resolution: Address service level complaints and driver issues with clients and staff in a timely manner. When necessary, conduct investigations and research to resolve conflicts in a most successful and expeditious manner. Always use tact, respect and professionalism whether over the phone or face to face.
6. Driver Records: Maintain driver record files in the regional office. Ensure individual files are current and contain copies of Transpro LLC, State and Federal documents. Perform record audits every 6 months. Ensure drivers comply with Drug & Alcohol program requirements.
7. Driver Management: Periodically, meet with drivers to provide feedback on their performance and discuss feedback received from the staff and field. Communicate individual performance issues and create action plans to address. Provide input for each driver’s annual performance evaluation.
8. Payroll: Prior to submitting to home office for payment, review driver’s weekly time sheet to ensure accuracy and completeness. Perform weekly audits to cross reference children counts and hours worked. When necessary, seek to understand and address any abnormal spike in hours claimed by the driver. Manage overtime expense by pinpointing root cause and putting plans in place to rectify.
