The Senior Accounts Payable Specialist is responsible for managing the daily processing of accounts payable to ensure timely and accurate payment of invoices in accordance with ASPCA's policies and procedures. In addition the Senior Accounts Payable Specialist is responsible for enforcing procedures to ensure accurate account coding, authorization delegation, and to maintain strong internal controls.
Job Responsibilities:
* Ensures the validity and accuracy of all vendor invoices and credit memos received. * Ensures that all submitted requests for payment have proper back-up documentation accurate account coding and required signatures for approval. * Identifying process improvements necessary to increase payment accuracy, improve customer service. * Responsible to sensitive or difficult inquires and resolves special situations, responds to information requests from internal and/or external auditors. * Participating in ad-hoc accounts payable related analysis as requested by management. * Working with the Controller to establish written accounts payable procedures and then responsible for maintaining the formal accounts payable procedures. * Responsible for invoice processing by matching invoices with purchase orders and receiving slips. * Ensures that invoices are entered correctly and are recorded on a timely basis. * Reviews and processes invoices for payment in accordance with vendor payment terms, taking advantage of all purchase discounts. * Prepares and mails accounts payable checks on a weekly basis; handles special check request as required. * Responsible for printing Accounts Payable reports including cash disbursement reports, check registers, edit reports and posting reports. * Establishes and maintains the vendor demographics and terms in the MAS90 system. * Research, vendor accounts and answers vendor inquires. * Verifies vendor statements to the Accounts Payable open trial balance. * Resolves account discrepancies by investigating documentation, issuing stop payment notices when necessary. * Assist in the year-end closing process and responsible for providing Accounts Payable records for the annual audit. * Assists in the recordkeeping and filing of all Accounts Payable documents. * Assisting with the preparation and review of the 1099 forms and reporting at year-end for timely and accurate distribution and filing. * Ensuring compliance with ASPCA's sales and use tax exemption/regulation in other states.
Education:
* Associate or Bachelor's degree in accounting is required. BA is preferred
Experience:
* Minimum of 5+ years relevant work experience in an accounting environment.
Knowledge Requirements:
* Advanced knowledge of Accounts Payable procedures in a computerized environment; familiarity with general accounting principals and controls for audit compliance. * Experience with the set up and maintenance of the vendor master file. * Must be proficient in mathematics.
Skills Requirements:
* Knowledge in the use of financial software applications including: Excel, Word. Knowledge of MAS90 a plus. * Effective oral and written communication skills, including the ability to clearly express thoughts to others and exchange information. * Ability to establish and maintain effective working relationships. * Must be detail-oriented and be able to work in a meticulous, thorough and detailed manner. * Ability to work in a fast paced environment. * Ability to handle highly sensitive information and maintain strict confidentiality.
