The Regional Executive Assistant provides a broad range of administrative support activities to the VP, Managing Director and National Marketing team. This role requires good judgment, organizational skills and experience with planning and accomplishing goals. This role also involves critical and creative thinking, which will enable the completion of all goals.
Principal Duties and Responsibilities
* Support expense submissions of the VP, Managing Director and National Marketing team. Supports expense management needs for non-salary related accounts, analyzing monthly spending, forecasting, etc. Provides expense research and resolution, being the general subject matter expert (SME) for budgetary questions.
* Coordinate schedules, meetings and teleconference. Coordinate room set-up for regional meeting and possible broker/client meetings held in the field office or regional events. Assist with regional office event planning. Organize meeting materials.
* Prepare presentation documents for National Marketing team meetings and training sessions.
* Performs headcount tracking and management notification of issues and trends.
* Makes travel arrangements for VP, Managing Director and National Marketing team and organize personal calendars.
* Schedule, organize and negotiate with hotels and restaurants and other venues for appropriate space for National Marketing sponsored events.
* Fields incoming calls from brokers and/or clients.
* Create presentations, memos, letters, manuals, agendas, and other correspondence for external constituencies on behalf of the management team.
Skills:
* High School diploma required, Associates or Bachelors degree preferred* A minimum of three to five years experience in an administrative role (preferably for management level support) required* Excellent communication skills, both written and oral and superior organization skills* Ability to show discretion in handling confidential and sensitive information* Ability to work with varying levels of management* Ability to set priorities, meet deadlines and manage projects* Flexible-working patterns and ability to manage constant change* Ability to problem solve and anticipate needs.* A keen knowledge of Microsoft Office (Word, PowerPoint Excel, and Outlook) is required.Unum offers competitive pay, relocation assistance and excellent benefits.
