Executive Assistant – ADM#001

LOCATION:
Oakland, CA

QUALIFICATIONS:
Proficient in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint, Publisher, and Access
Strong communication and grammatical skills, delightful and pleasant personality
Must have typing abilities of 55 wpm
Understand and carry out oral and written directions; multi-task
Ability to handle tight deadlines
Bachelor’s degree preferred


CAREER OPPORTUNITY:
Executive Office Services is are seeking an Executive Assistant to provide support duties as needed. The Executive Assistant is expected to apply a routine amount of initiative and judgment to perform duties utilizing standardized procedures within established policies.

Responsibilities shall include but are not limited to:
Perform various clerical duties, utilizing standard office equipment, to include: screening incoming calls; taking and transmitting messages; distributing mail; making photocopies; collecting and receipting monies; performing data entry; preparing mass mailings; filing; typing, and word processing.
Schedule appointments and maintaining a calendar
Create travel schedule and book travel itinerary.
Ensure travel and housing arrangements are made for, including transportation to and from the airport, and being present upon the guest's arrival at the hotel to ensure a smooth registration process
Help in preparation for all meetings, events, travel and engagements
Type and copy all correspondence.
Receive visitors, answers inquiries and provide information quickly, courteously and efficiently
Provide administrative support for meetings
Participate in staff meetings as required
Research conferences, speaking engagements, and other opportunities to increase awareness of the ministry
Respond to requests for information from the general public; answer routine questions via phone and email; direct visitors to appropriate locations.
Schedule facility use, maintenance, and janitorial service.
Order and maintain supplies for the facilities utilizing discretion to maximize stewardship and fiscal responsibility.
Work in collaboration with the other Administrator to ensure that maintenance/facilities concerns are addressed, and that all event requests have been approved and updated in the calendar.
Oversee the production of the weekly bulletin, quarterly newsletter, monthly calendar and annual report.
Process bills, check requests, reimbursements for approval by Operations Officer and ensure timely payment.
Work with offsite IT manager to maintain the website and ensure proper function of server, Internet, etc.
Assist with major projects required as needed.
