Administrative Coordinator - (US-MN-Saint Paul - 55191) Minimum Education: None Job Type: Full Time Email this job to yourself or to a friend | Job Match Test | Resume Guide Click Here to Apply Online Responsibilities: The Administrative Coordinator provides daily admin support to the Mging Director, Technology & coordinates facility & budget administration to assure smooth functioning and admin of the Technology department. This position takes an active role in the dept financial tracking, personnel time tracking, & assists the Director w/ongoing budget maintenance & reconciliation in support of Technology activities. Additionally, this position provides workspace planning & maximizes utilization of our facilities, including facility project management & technology support coordination for all APMG sites.Financial Coordination:- Track billing, incoming revenue, payroll, & interoffice financial reconciliation.- Communicate budget issues to budget managers and Managing Director as they arise.- Work w/Finance staff to coordinate the annual capital budget process, periodic projections, & budget revisions as needed.Facility Coordination:- Manage all aspects of inter-building moves (individual/department), including advising leadership of feasibility, scheduling, budgeting, working w/internal technology staff and outside contractors.- Lead process for creating/implementing policy/procedures around workspace planning.- Interface w/employees to determine space needs and anticipate equipment and furniture needs.Admin Support:- Provides admin support to include calendar management, logistical and organizational support for meetings, takes meeting minutes, & makes travel arrangements.- Prepares materials for division meetings: memos, articles, and advance mailings. Coordinate compilation of department and division reports.Req's:- BA or equivalent req'd.- 5 yrs of admin support experience- EXPERT MS Office skills including significant experience using Word, Excel, PowerPoint and Outlook- Prev exper supporting multiple people & more than one activity- Exper w/coordinating budgets- Must be highly detail oriented & organized
