The unit is responsible for maintenance of medical records, collection of fees, and informing the public of health department services. This position works 32 hours a week.Essential Functions:A. As one of the first staff members our clients will encounter all management support staff must have accurate knowledge of all health department services. Maintaining excellent employee/patient relationships is of the utmost importance in this position as well as all management support positions. General public contact is a large portion of management support positions. This position requires excellent customer relations as well as employee relations. This position is responsible for verifying patient insurance benefits and billing insurance companies. The employee will contact potential private insurance companies and local employers in Union County to request permission to be added to their insurance panel.B. The employee may be responsible for providing back-up coverage at a fee window, on the switchboard, at the front desk, filing, scheduling appointments, or any other tasks as assigned by the Supervisor.C. Public ContactEmployee must maintain a positive, helpful, and professional disposition at all times. Employee will be interacting with patients, their families and other Health Department staff. Employee will have contact with other treatment providers, public and private agencies, and the public on a daily basis.D. Records & ReportsEmployee compiles reports on work duties as requested.E. CompositionEmployee may compile letters to be sent to patients regarding payment plan follow-up. Employee may compile other items as requested.F. Office Equipment and OperationEmployee uses a calculator, copier, printer, shredder, computer, printer, fax machine, and microfilm viewer/printer. Employee will view and enter data in the QS system, view State HSIS/SIPS system, look up and view imaged medical records on Papervision, Word, and e-mail system.G. Supervision ReceivedEmployee is able to perform assigned duties on a daily basis with independence. Employee to consult Lead Patient Account Rep for financial- related items, Lead Medical Records Clerk for medical records/frontdesk items and the Director of Medical Records/Clerical Team Supervisor as needed.H. Resources and GuidelinesEmployee uses the Union County Health Department Medical Records Policy and Procedures manual and Health Department Fee Policy with State issued fee scales.Education and Experience:Completion of high school and demonstrated possession of knowledge, skills, and abilities gained through at least one year of office assistant/secretarial experience. Strong experience with public contact and problem solving skills. Three to four months of on-the-job training is required to become fully able to perform the duties and responsibilities of this position.Special Requirements:MUST BE BILINGUAL (English & Spanish)
