Maintain and update associate files and attendance records. Supervise the hotels cashiering function and ensure accuracy and control of all house banks, including due backs, petty cash, etc.. Process approved and submitted expense reports. Compose letters, reports, etc. from outline notes, verbal instructions or independently from knowledge of circumstances and policy, utilizing personal computers and appropriate software. Review, interpret and summarize information from several sources. Design and prepare reports and manuals under direction and keep them current. Receive and screen phone calls, take accurate messages, and handle situations therein. Review voicemail and e-mail as directed and respond in the managers absence. Open, screen and distribute incoming correspondence and attach back-up information when possible. Arrange/schedule meetings and appointments, and make travel arrangements. Manage, follow up and expedite completion of specially assigned projects/tasks with a high degree of autonomy. Interact with customers and all levels of management, associates, Managing Directors, etc. Publish and edit hotel informational monthly updates. Make reservations for VIP guests, generate welcome letters, arrange amenities, etc. Build positive relationships between assigned personnel and internal customers. Provide constructive and consistent coaching, counseling and direction to staff when applicable. Manage group or interpersonal conflict situations effectively. Present information and ideas in a concise well-organized manner. Prepare and oversee all internal communication to staff members. Act as manager on duty in certain situations. Assist Department Heads as needed. Represent and act as part of Executive / Management Team. Assist in budget related tasks. Compose all guest correspondence and follow up as needed. Demonstrate self-confidence, high level of energy, enthusiasm and motivation through actions. Ability to manage/supervise a diversified staff by delegating and organizing workload. Ability to multi-task, prioritize and work in a fast paced environment. Ability to manage time well, meet imposed deadlines and be flexible. Quick learner and thinker “ able to grasp new concepts. Innovative and change driven with a high sense of urgency. Strive to improve self, others and overall practices and procedures. Strong communication skills “ both oral and written (business writing necessary). .
