Many of the specialty lubrication and cleaning products you see at your local supply stores and maintenance shops may be manufactured at South Coast Products.

Receptionist / Office Assistant

As the Receptionist / Office Assistant, you will be our first chance at making a lasting impression for all our customers by performing the following duties:

Front desk
• Answer phones and direct phone calls to appropriate staff member.
• Delivery of faxes to appropriate offices
• Ensure everyone receives call or a message is taken.
• Greet visitors and direct them to proper location.
• Positive attitude about the company that is directed toward customers, employees, and other third parties.
• Utilize a sense of urgency regarding all calls.

Clerical
• Enter customer orders into computer system.
• Communicate with customers in a timely manner as to the status of their orders.
• Mail all invoices.
• Separate and distribute mail to staff.
• Maintain customer and office files; keep files current and up-to date, set up new files, perform filing of paperwork.
• Match orders and picking slips for invoicing; match invoices once complete.
• Perform other clerical work such as typing, copying, envelope stuffing, and mailing.
• Use MS Word to enter customer quotes for both domestic and international customers.
• Assist in obtaining freight quotes for domestic and international customers.
• Assist in preparing documents needed to process international orders.
• Assist sales team with word processing/spread sheets and other duties as needed.
• Perform other duties as identified by department heads.
• Mail catalogs to customers as requested.
• Send MSDS, Cof C’s or other documents to customer as needed.
• Ensure all International orders are timely processed for export papers, Performa’s UNZ forms and proper trucks called.
• When customer service/office manager is out, does invoicing; order taking; printing of picking slips.
• Maintain list of needed office supplies and order when needed.
• Prepare export papers or call for order pick up, as needed.
• Print and edit labels as needed.

Qualifications:
Our ideal candidate will possess the following skills, abilities and knowledge:
• 2+ years experience as a Receptionist or administrative work
• Strong communication and interpersonal skills
• Ability to read, write, speak and understand English well
• Ability to use office equipment – including multi-extension phone
• Proficiency with Excel, Word, ACCPAC a plus
• Ability to manage multiple tasks at the same time
• Ability to work independently and as a team player.
