Office policy is subject to change. Days working in the office are flexible and may vary based on business and employee needs. During peak times, such as month end, quarter end, and year end there may be an occasional need for overtime. The position is located at NMorristown NJ, 07960. This is a full-time role and will report to the Accounting Manager. Parking and Public transportation are available.As we work in the Healthcare sector and healthcare predominates in our marketplace, in some cases our clients mandate that NK staff who conduct business with and site visits to healthcare providers be vaccinated. As such, we request all prospective hires be vaccinated. Proof of vaccination is a requirement for hire.Duties and Responsibilities:Key responsibilities include, but are not limited to:Contract Management & Project Performance ReviewReview project contracts to ensure budget and billing terms & fee structure are aligned and enter contract details in Deltek VantagepointManage the full project cycle from conversion of prospect to billable project in Deltek VantagepointCollaborate with and support project managers to ensure project resource assignments, budgets and work plans are accurate and up to dateReview project performance monthly and provide insight and updates to PMs with respect to receivables, consultant, subcontractor, vendors and suppliersProject Status Maintenance, Set up & Close OutMaintain project-related records, including contracts and change orders, purchase orders, project budgetsEnsure Organization / Project type and all project related details are correct at the time of project initiationEnsure Client address, contact information is correctFollow project close out checklist and ensure project billing and receivables are all up to dateDaily upkeep of project status Create project accounts in accounting systemProject Monthly BillingMonitor AP mailbox for invoicesCreate and post invoices using correct templateReview and approve consultant invoices in accounting systemMonitor consultant ledger monthly to pay invoicesFollow up on consultant lag billing, pending ASRs, cost reconciliations, budget issuesAccounts Payable - Direct Expense Management (Consultants, reimbursable)Set up rates, billing fees, billing limits, labor, consultant reimbursable expensesInvestigate all project expenses not billedMonth / Quarter & Year End Reporting, Entries, AnalysisRun Monthly AR reports, identify AR trends & update PMs & PICs monthlyRun Monthly & Quarterly Expense Detail ReportsReview, reconcile, and approve Amex/Cash Expense ReportsAssist with Year-end report preparationReconciliationsReconcile the Operating and Payroll Accounts monthly, identify stale dated itemsReconcile absence requests (coordinate with HR)Reconcile weekly timesheet data for payroll dataQuarterly reconciliation of general ledgers to sub ledgersTimeline Approval ManagementReview time sheets for work related projectsSend reminders for time sheet approval on MondaysPM timeline approval tracking/follow-upReview, adjust, post timesheetsAdditional Ad hoc Analysis as requestedRequired Skills/Abilities:Strong computer skills a must, intermediate in Excel and WordWell organized and able to prioritize and self-manage workloadStrong written and verbal communication skillsExperience with project accounting in professional services area a plusHave a professional approach, maintain confidentiality, and demonstrate discretion with sensitive informationEducation and Experience:Minimum college graduate with Business/ accounting focus preferred2+ years of experience, performing functions as outlined in the Job DescriptionPrior industry experience or experience in small to mid-size firm a plusExperience with Deltek Vision or Deltek Vantagepoint a plusSupervisory Responsibilities:NonePhysical Requirements:Prolonged periods sitting at a desk and working on a computer.This job description is not all inclusive of duties to this role.
