Summary of Functions

The accounting clerk prepares financial documents such as invoices, bills, accounts receivable, accounts payable, fixed assets, payroll, reports and other financial records. They are also responsible for reconciling bank accounts, reporting taxes and balancing accounts.

Duties and Responsibilities:

1. Process and record day-to-day financial transactions, including accounts payable and receivable, invoices, payments, and expenses.

2. Verify and reconcile invoices, receipts, and financial documents to ensure accuracy and completeness.

3. Prepare and maintain accounting documents, such as ledgers, journals, and general ledger entries.

4. Assist in the preparation of financial statements, reports, and summaries as required.

5. Conduct routine bookkeeping tasks, including reconciling bank statements and maintaining petty cash.

6. Perform data entry for financial transactions, ensuring timely and accurate recording of financial data.

7. Assist with payroll administration, including calculating employee hours, maintaining employee records, and processing payroll payments.

8. Assist in the preparation of tax forms, filings, and compliance with tax regulations.

9. Support month-end and year-end closing processes, including account reconciliations and financial reporting.

10. Assist in maintaining and organizing financial records, both physical and electronic, for easy retrieval and audit purposes.

11. Respond to inquiries and provide support to internal stakeholders regarding financial transactions, records, and processes.

12. Collaborate with other team members, such as the office manager or owner, to ensure proper financial documentation and reporting.

Requirements

Qualifications and Skills:

1. High school diploma or equivalent; additional accounting certifications or coursework is a plus.

2. Proven experience in an accounting or bookkeeping role, preferably in a small business setting.

3. Proficient in using accounting software and tools, such as QuickBooks or similar platforms.

4. Strong attention to detail and accuracy in data entry and financial record-keeping.

5. Familiarity with basic accounting principles, procedures, and terminology.

6. Excellent organizational skills and the ability to prioritize tasks to meet deadlines.

7. Good communication skills, both written and verbal, to effectively interact with internal stakeholders and external parties.

8. Proficient in Microsoft Excel and other relevant software applications.

9. Understanding of tax regulations and compliance requirements.

10. Ability to work independently and as part of a team, with a high level of professionalism and integrity.

11. Strong problem-solving skills and the ability to identify and resolve discrepancies or issues in financial records.

12. Willingness to adapt to changing financial processes and technologies.
