Description:

  • OHSU Doernbecher Child Development and Rehabilitation Center Mostly Remote - must be local (few office visits per month) This position performs a variety of advanced programmatic and administrative tasks to support the academic, clinical and research missions of the Department of Pediatrics and the Division of Neonatology.
  • This position supports the Division Head, faculty and staff in the Department and in the Division of Neonatology, as well as the Department Administrator and the Office Manager, as needed.

Programmatic Functions

  • Supports special projects assigned by the Division Head, Faculty, Department Administrator and Office Manager.
  • Creates forms, flyers and posters, to advertise various program events and offerings, using Microsoft Office or desktop publishing software.
  • Supports the SOM, Research Department and OHSU outside committees that the Department Leadership are managing and facilitating. This may include transcribing and disseminating meeting notes, supporting preparation of materials and handouts, scheduling committee meetings and carrying out projects as assigned by Leadership.

Administrative Functions

  • Maintains Neonatology faculty calendars, credentialing, correspondence, division files and various other administrative tasks, as needed.
  • Coordinates travel arrangements for faculty and visitors including, but not limited to; making various reservations, notifying organizations of upcoming visits, processing expense disbursements and journal entries/invoices.
  • Assists with visiting faculty, interview candidates and the on boarding of new faculty to the department. Creating itineraries, arranging travel and escorting visiting faculty.
  • Assists faculty with credentialing and reappointments, the maintenance of various licenses, memberships to professional organizations and meeting/conference registrations.
  • Maintain and manage divisional emailing groups
  • Completes various administrative tasks as needed, with strong knowledge of Microsoft Word, PowerPoint, Excel, SharePoint, DocuSign and Adobe Acrobat.
  • Orders supplies and coordinates facilities work orders, CARS requests, key orders and equipment check-outs for the division and the clinic, as needed.
  • Answers/triages calls appropriately and takes messages for faculty. Checks voicemail and returns messages daily.
  • Receive and distribute department mail 10. Provides superior customer service. Greets visitors to the division, and serves as a campus guide for visiting faculty and other guests.

Financial Functions

  • Manages and reconciles Department purchasing card.
  • Creates and processes requisitions, purchase orders, journal entries and disbursements/check requests.
  • Processes invoices and/or reimbursements of faculty for various expenses, as well as making payments of division-related expenses.
  • Manage monthly NICU Timesheet Pay-Out process 5. Maintain divisional accounts and faculty travel/PBE accounts.
  • Analyzes the expenditures on faculty Personal Business Expense reports and informs of suspected errors to proper personnel, to enable faculty to produce accurate reporting. Four years of general office or secretarial experience; OR An Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor's degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience.
