POSITION TITLE: Administrative Assistant

REPORTS TO: Director of Recuperative Care

LOCATION: Arleta, CA, Los Angeles

CLASSIFICATION: Non-Exempt

SALARY: $45,000.00

PERTINENT INFORMATION:

  • Position title will start work January 2024
  • All positions require candidates to successfully pass a background check, LIVE scan and TB Test
  • Shift Schedule: Monday Friday, 8:30AM-5:00PM

Administrative Assistant

The Administrative Assistant will be supporting the facility under the guidance of the Director to promptly address documentation and other administrative tasks. The Administrative Assistant will be responsible for managing office communications and facilitating key tasks and procedures. This is an administrative position which requires overall office support, front desk operations and organizing different activities and people involved to work more effectively. This position also encompasses all the duties related to entry into the facility and managing the in and out flow of guests, staff, and community partners. This position will report to the Director and the Program Manager in the Directors absence on all matters relating to administrative tasks and Office coordination.

Responsibilities and Initiatives

To help NHF meet its growth goals, the Administrative Assistant will:

  • Serve as point of contact for all professional employees.
  • Build trusting relationships with community partners.
  • Deliver excellent customer service and exercise good judgment with a compassionate, positive attitude while managing a population of clients who may be experiencing difficult life events, such as homelessness, unemployment, addiction recovery, health issues and/or poverty.
  • Maintain confidentiality of all information presented.
  • Provide the highest quality of customer service by being the first point of contact for our facility and visitors. Ensure guests are greeted, guided to the appropriate department, and adhere to our on-site Covid protocols.
  • Act as a key point of contact for all departments. Manage, schedule, and organize all meetings, circulating meeting agenda and meeting minutes to teams.
  • Maintain guests sign-in and sign out log. Maintain visitors sign-in and sign out log.
  • Manage facility inventory list, vendors contact roster, calendar, processing purchases for all departments as directed by Director and/or Program Manager. Submit work orders for the appropriate departments. Coordinate with external vendors for delivery and returns.
  • Manage incoming calls and direct callers to appropriate team or department members. Deliver any messages when team members are not available. Monitor company cameras, if any.
  • Manage the transportation process for our guests in collaboration with nursing and social services department.
  • Maintain a safe, organized, and clean reception area by complying with procedures, rules, and regulations.
  • Project a positive professional image and adhere to organization dress code.
  • Flexibility to adapt to schedule changes to meet the needs of the facility.
  • Completes additional tasks as assign to meet the needs of the facility, notwithstanding primary duties.

Requirements

  • High school diploma, additional qualification as an administrative assistant or Secretary is a plus.
  • At least 2 years of experience in an administrative support capacity, 1 year of experience in a healthcare or social services setting.
  • Some knowledge or experience working with elderly, mental health, substance us disorder.
  • Working knowledge of office equipment, like printers and fax machines if any.
  • Excellent time management skills and the ability to prioritize workload.
  • Attention to detail and problem-solving skills.
  • Strong proficiency with Microsoft Suite which includes Word, Excel, and Outlook.
  • Have strong written and verbal communication skills.
  • Excellent in multi-tasking; have strong organizational and time management skills.
  • Experience in medical office/recuperative care setting (preferred).
  • Familiarity with HIPAA (preferred).
  • Have a friendly and service-oriented mindset. Be people first and be driven by empathy.
  • Be comfortable in a fast-paced environment, 148-bed recuperative care facility. Ability to remain calm in escalated situations.
  • Bilingual in a language that is commonly spoken in Los Angeles, other than English. (Preferred, not required).
  • Reliable transportation
  • TB testing required.
  • Fingerprint live scan background required.

Physical Requirements

  • Works in office area under normal working conditions.
  • Is subject to frequent interruptions.
  • Must be able to read material and use a computer.
  • Must be able to hear well enough to communicate with co-workers.
  • Standing and walking.
  • Climbing/Stooping/Kneeling.

On any given night, there are 46,000 Angelinos without a home. Of those, more than 29,000 have severe health issues requiring some level of care. Without a home, these individuals experience insurmountable barriers to health and healing.

In the 6 square miles that make up Historic South-Central Los Angeles, there are no gyms and there is only 0.4 acres of parking space for the 103,000 people who call the area home. Liquor stores outnumber grocery stores and there are no farmers markets. Without opportunities for safe outdoor play and places to purchase fresh fruits and vegetables, this community will continue to experience higher than average rates of obesity, diabetes, and cardiovascular disease.

High school can be a trying time, but for students who are pregnant, parenting, or at risk of becoming pregnant, the challenges are far greater. The impact of pregnancy on health is compounded in communities where poverty and a lack of maternal care are common.
