This is an exciting time to work for Amarillo College! We are seeking our next Full-Time Administrative Assistant II - Technical Education at East Campus who will be all-in on our mission and who will assist with clerical duties under both the Aviation Maintenance Program and the Transportation Programs which include the Automotive, Collision, and Diesel departments. The Administrative Assistant will facilitate office procedures and determine the disposition of administrative problems that are more than routine in nature, referring only complete questions to the supervisors.

EDUCATION

  • Required: High School Diploma or GED
  • Preferred: Associate Degree

EXPERIENCE

  • Required: 2 years of experience in a Secretarial/Clerical environment
  • Preferred: 3 years of experience in a Secretarial/Clerical environment

JOB DUTIES & RESPONSIBILITIES

  • Provide secretarial/clerical services for the Aviation, Automotive, Collision, and Diesel Programs at the East Campus.
  • In coordination with the Transportation Program Coordinator, support the programs at the TDCJ unit.
  • Ensure professional communication with all internal and external stakeholders whether through email, phone, typed letters, memos, or reports.
  • Maintain calendar for booking, schedule and set up rooms for meetings/caterers and prepare meeting materials well in advance.
  • Complete all paperwork necessary to set up, maintain, cancel, reschedule, close courses and set up and maintain Continuing Education classes.
  • Work with supervisors to turn in textbook orders in a timely manner and syllabi are up to date and visible on the website, and that census and grade rosters are submitted in a timely manner.
  • Maintain equipment inventory records ensuring equipment is properly tagged and can be located.
  • In cooperation and coordination with the supervisors/budget officers prepare and maintain budget records using Colleague monitoring revenue and expenditure including credit card expenses.
  • Work with the Transportation Coordinator to ensure ASE standards are maintained.
  • Maintain Program web pages in conjunction with AC Marketing.
  • Maintain Database/Spreadsheet information for student and graduate information.
  • Set up special events as requested to ensure HVAC in classrooms.
  • Keep the Custodial crew updated as to the classes/training happening in the Transportation Career Center and the Academic Classroom Center.

KNOWLEDGE, SKILLS & ABILITIES

  • Ability to use MS Office Suite, Google Apps, Adobe, and Colleague.
  • Ability to type 55wpm+.
  • Knowledge of accurate English spelling, sentence structure, and grammar.
  • Knowledge of business math and basic accounting.
  • Advanced knowledge of naming, updating and locating files, entering data, and systemizing records.
  • Ability to occasionally work some evenings, weekends, or holidays when needed.
  • Ability to work under stress, and work independently and as a team member.

Salary: Amarillo College - Salary Schedules((link removed), Pay grade 7 (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.

Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)

Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, and various other educational applications. Work may also be performed outside of the office and with little to no supervision.
