Are you an experienced office coordinator who can juggle all the administrative functions that come with managing a company office? Do you love to help manage schedules and coordinate office visitors? Are you an upbeat, team player who feels good when the office is completely stocked and fully functional?



If so, we have an awesome opportunity for you. At 1WorldSync, we are looking for an Office Administrator/Office Administrator for our downtown Chicago office.



The Office Administrator is responsible on a daily basis for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the Executive Management Team (EMT) as needed. The Office Administrator is a member of the Human Resources team, and will also oversee office operations for our Dayton, OH office.



As the Office Administrator, a typical day might include the following:



Office Management




  • Presenting a professional, welcoming first contact to all clients, vendors, staff, etc. by phone, in person, and email.

  • Responsible for organizational functions and general meeting support including arranging, bookings/reservations, maintaining office space schedules, and securing food & supplies.

  • Responsible for incoming and outgoing mail/packages, shipping and receiving.

  • Responsible for maintenance of common spaces for appearance and functionality.

  • Responsible for managing supplies and maintenance of office & office amenities.

  • Following and participate in security practices as needed.


Direct Support: Executive Members


  • Assisting with communications (mailings, meeting support, catering, activities).

  • Researching off-site event locations and team activities.

  • Miscellaneous depending on EMT/EEMT schedule and needs.


To be successful in this position, you must have:


  • A Bachelor's degree (strongly preferred).

  • A proactive, helpful, can-do attitude.

  • A proven ability to effectively multitask.

  • Prior experience working in a flexible dynamic work environment.

  • Neat, organized, able to work independently and interdependently, welcoming to the public.

  • Ability to respect budget specifications, honor expense systems and policies.

  • Strong writing skills required.

  • Fluent in Google Apps for Work &/or Microsoft Office Suite required.

  • Experience in food service/hospitality preferred but not required.
