WWC Federal is seeking an Administrative Professional - Travel to support USAIDs newly-formed Bureau for Democracy, Human Rights, and Governance for a period of twelve (12) months, with the possibility of extension.

The DRG Bureau provides technical advice and support to USAID missions implementing programs in democracy, human rights, and governance (DRG); generates and disseminates knowledge to build the DRG evidence base; and elevates the role of DRG in key USAID, U.S. Government, and multilateral strategies. The functions of the Bureau are described in ADS 101, though it is being updated as the DRG Bureau operationalizes. The operationalization of the DRG Bureau will not affect the scope of work of this position. The candidate will be responsible for providing travel support for program-funded staff and for providing additional general administrative duties supporting DRG Bureau program implementation. Additionally, the Administrative Professional -Travel will provide backup support to other DRG Bureau administrative functions such as correspondence, human resources, and financial management as required.

Responsibilities include:

  • Supporting travel needs at USAIDs DRG Bureau in Washington DC.
  • Preparing travel authorizations.
  • Processing applications and requests for renewals of Diplomatic and Official passports.
  • Assisting with the preparation and review of travel vouchers for staff.
  • Informing staff of DRG Bureau travel procedures. Provide training and/or presentations as needed and prepare responses to frequently asked questions.
  • Ensuring the maintenance of hard and electronic files and assisting in maintaining tracking systems for travel related documents such as: travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc.
  • Maintaining office travel budget and projected travel spreadsheet and provide travel report updates as requested.
  • Knowledgeable on all Federal, USAID, GSA and State Department and mission specific travel regulations and allowances.
  • Establishing and maintaining effective and productive working relationships with administrative and financial personnel in USAID Missions, financial management offices, regional financial management service centers, USAID Travel Office, and the Agencys Travel Agent to facilitate the timely processing of requests and resolution of problems encountered.
  • Performing other related duties as assigned.


Work Environment:

  • Moderate noise (i.e. business office with computers, phone and printers) and /or occasional Loud noise (airfield, large equipment).
  • Ability to sit at a computer terminal for an extended period of time.

Travel:

Requirements

Basic Qualifications

  • Associate's Degree.
  • Must have the ability to obtain and maintain a Secret Clearance. (Eligible to pass Federal security clearance process. Please visit the link for FAQs: (link removed)).
  • 2+ years experience in Federal Travel Management/Regulations.
  • Demonstrated experience in document management, proofreading, and English Grammar.
  • Experience managing budgets.
  • Demonstrated effective teamwork, collaboration, and interpersonal skills.
  • Exceptional attention to detail and ability to multitask.
  • Outstanding communication skills, influencing abilities, and client focus.
  • Professional proficiency in English is required.
  • Demonstrated proficiency in using all Microsoft Office applications.
  • Applicants must be currently authorized to work in the United States on a full-time basis. WWC Federal will not sponsor applicants for work visas for this position.

Preferred Qualifications

  • Bachelor's Degree.
  • Current, active Secret security clearance.
  • Experience with USAID.
  • Experience with procuring travel orders, understanding federal regulations, country clearances, processing travel vouchers, and securing diplomatic passports & Visas.
  • Experience using USAID Travel systems- UTRAMS, E2 or similar.
  • Experience using Google suite (Gmail, Calendar, Documents, Sheets, or Google Drive).
