St. Catherines School seeks an Admissions Administrative Coordinator to join a collaborative team of five. Reporting to the Director of Admissions, Enrollment & Community Engagement the ideal candidate will possess strong database skills and demonstrated experience with digital communication. This is a 12-month/year, full-time position.

St. Catherines School is an Episcopal day, all-girls school in Richmond, Virginia, founded in 1890 and enrolling approximately 950 in our Early Learner Program (age 3) - Grade 12. Located on a 16 acre campus in the western part of the city, the School mission is to provide a rigorous education that prepares girls with diverse perspectives for a lifetime of learning, leadership and service in a global community. POSITION SUMMARY

The Admissions Administrative Coordinator performs a wide variety of highly responsible and important duties for the admissions department supporting all areas of enrollment management, including, but not limited to: admissions, recruitment, communications, marketing, enrollment, event management, presentation design, and database management. This person will be expected to maintain a professional, courteous, and helpful manner in daily interactions with a diverse range of internal and external constituents.

Position Status: Salaried, non-exempt, full-time

Hours of Work: Standard work week.

Requirements

ESSENTIAL RESPONSIBILITIES

  • Respond to inquiries, facilitate campus visits, and support constituent needs in a timely and personal fashion
  • Assist and welcome prospective students and families
  • Support the Director of Admissions and admissions colleagues
  • Manage event registrations and other program details for admissions events
  • Assist with admissions and school community events, on or off campus, including weekends or evenings, as needed
  • Process and manage all inquiries and applications in the Student Information System (Blackbaud)
  • Manage and maintain the Student Information System (Blackbaud) and Customer Relations Management (Hubspot) databases for Admissions and Enrollment to ensure accurate data entry and updated, relevant information
  • Design, generate and run queries and statistical reports regarding admissions and enrollment data
  • Stay informed of Blackbaud and Hubspot functionality and best practices related to admissions and enrollment modules
  • Manage all aspects of admissions correspondence (print and digital)
  • Manage all aspects of accepting and enrolling new students (print and digital correspondence)
  • Develop electronic communications and presentations for internal and external constituents
  • Support planning, advertising and presentation content for numerous admissions events and special projects
  • Manage updates of all admissions related materials in collaboration with the Marketing and Communications team
  • Review and update the admissions section of the school website regularly
  • Serve as liaison between Admissions Office and digital marketing firm related to events and special projects
  • Process payments and invoices, as well as balance/approve monthly fiscal reports, provided by the business office related to the admissions budget
  • Other duties as needed

QUALIFICATIONS

  • Bachelors Degree
  • Significant and relevant experience with admissions, marketing and enrollment management at an independent school
  • Commitment to building a diverse, equitable and inclusive school community
  • Professional demeanor, excellent personal relationship skills, and a warm, positive, friendly, can-do presence
  • Demonstrated technical expertise in all components of Microsoft Office, Google, Canva and other presentation platforms
  • Ability to execute data merges from a variety of databases
  • Knowledge and expertise with constituent database management (Blackbaud preferred)
  • Knowledge and expertise with CRM software platforms (Hubspot preferred)
  • Advanced computer skills and proficiency with data manipulation
  • The ability to adapt to new and evolving technology, and the ability to demonstrate innovation and vision related to the efficient processing of information related to this role
  • Highly developed oral and written communication and presentation skills
  • Ability to manage multiple projects, activities and tasks simultaneously
  • Proven ability to work with multiple deadlines and priorities required
  • A work style that is detail-oriented and highly organized
  • Commitment to exercise confidentiality and discretion in all matters
  • Team player who is able to share responsibilities and collaborate with colleagues
  • A growth mindset, a sense of humor, patience, and flexibility

PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 10 pounds.

TRAVEL

Occasional overnight and out-of-area travel may also be required for special events.
