Position Title: Appointment Scheduler Pay Rate:$20-23/hr Work Location: Plymouth, MA Shift :7:00 AM - 3:00 PM , 3:00 PM - 11:00 PM Hours/day: 8*5 (40hrs/wk) Contract Duration:13 weeks/4 Weeks blocked booking License Requirement: New Jersey CNA Certification Requirement: BLS Job Description Appointment schedulers play a crucial role in ensuring smooth operations within various industries, including healthcare, business services, education, and more. Their responsibilities typically include: Scheduling Appointments: The primary responsibility is to schedule appointments for clients, patients, or customers based on availability, preferences, and urgency. Maintaining Calendars: Appointment schedulers manage calendars for individuals or teams, ensuring that appointments are accurately recorded and conflicts are minimized. Communication: They often serve as the first point of contact for clients or patients, communicating appointment details, rescheduling options, and any relevant instructions or information. Confirming Appointments: Appointment schedulers may be responsible for confirming appointments with clients or patients via phone, email, or text message to minimize no-shows and optimize appointment utilization. Rescheduling and Cancellations: Handling rescheduling requests and cancellations efficiently, while also ensuring that the schedule remains balanced and appointments are promptly filled. Customer Service: Providing excellent customer service by addressing inquiries, concerns, or issues related to appointments with professionalism and empathy. Data Management: Maintaining accurate records of appointments, client/patient information, and communications in databases or scheduling software systems. Collaboration: Coordinating with other team members, departments, or external partners to ensure that appointments align with overall organizational objectives and workflows. Adherence to Policies and Procedures: Ensuring compliance with organizational policies, procedures, and confidentiality guidelines when handling sensitive information related to appointments and clients/patients. Problem Solving: Resolving scheduling conflicts, addressing last-minute changes, and finding creative solutions to accommodate urgent or unexpected appointment requests. Documentation and Reporting: Generating reports, tracking key metrics such as appointment utilization or no-show rates, and providing insights to improve scheduling efficiency and customer satisfaction. Overall, appointment schedulers play a vital role in managing the appointment process, facilitating communication, and maintaining smooth operations within organizations, contributing to enhanced customer experiences and organizational effectiveness.
