  • Travel/Location: Denver, Colorado with remote and travel possibilities.

Mission of Role/Position Summary

Be part of a team of knowledgeable, compassionate, and helpful allies for our clients. This position will provide critical support for invoicing and internal payroll processing. The Billing and Payroll Specialist will ensure timely processing as part of our Finance and Accounting team.

Requirements

Tasks, Duties, and Responsibilities

  • Calculate and prepare project invoices, including necessary invoicing schedules and back-up data.
  • Perform bi-weekly and off-cycle payroll process to include timesheet administration, required communications, and reporting requests.
  • Collaborate with PEO to ensure accurate tracking of all payrolls related processing.
  • Develop fluency of knowledge of company processes and Internal Controls and their consistent application and contribute to identifying changes and improvements.
  • Ensure weekly/monthly invoices are submitted to client by a pre-established due date in prescribed format.
  • Work closely with a group of project managers to ensure contracts, sub-agreements and change orders are in place for all project billing.
  • Reconcile timesheets and agreements with contract and PO.
  • Ensure proper billing of subcontractor support.
  • Communicate with project managers, customers, sub-contractors.
  • Ensure vendors and other third parties are paid timely and accurately.
  • Resolve issues that arise with third party payees and clients.
  • Perform additional billing duties as needed.
  • Perform all other duties as assigned.


Knowledge, Skills, and Abilities

  • Salesforce experience is a plus.
  • Ability to maintain confidentiality with sensitive customers and internal information.
  • Excellent critical thinking, strategic planning, and problem-solving skills.
  • Knowledge of general financial accounting and cost accounting.
  • Understanding of and ability to adhere to standard accounting principles.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite or similar software, strong Excel skill is preferred
  • Ethical behavior.
  • Outstanding organization and ability to work independently in a time sensitive environment.
  • Team oriented, positive attitude, and passion to learn something new.
  • Excellent customer service skills.

Preferred Experience and Education

  • Bachelor's degree in accounting, finance or a related field.
  • Equivalency: Professional experience beyond the minimum requirements, in a related field may substitute the bachelor's degree on a year for year basis.

Required Experience and Education

  • 3+ years experience in billing and payroll.

Supervisory Responsibilities

  • The billing and payroll specialist has no direct supervisory responsibility.

Expected Hours of Work

  • Schedule may vary and require work on evenings and weekends and dependability and punctuality are paramount.

Travel Requirements

  • Travel may be required up to 25% of the time.

Physical Requirements

  • May require sitting or standing for hours for a long period of time.
  • Mobility around client sites necessary.
  • May require long hours at a computer.
  • Ability to lift up to 30 pounds repetitively as needed.

Work Environment

  • Home Office unless required to attend meetings at a client site or deployed to a client site.
  • Deployment may require work in austere locations and various weather conditions.
  • All ACDC positions are remote work site positions with the home location agreed upon at time of hire.
  • All ACDC positions require travel to client sites or for emergency activations/deployments, as requested.
Additional Qualifications
  • Must be 18 years of age or older.
  • Must pass company and any applicable client background check and reference check upon offer of employment.
  • Eligibility to work in the United States is required.
