Position Overview:
We are seeking a full-time Bookkeeper / Office Manager to join our growing team. Must have at least 2+ years’ experience as a full-time office administrator, bookkeeper, or related role.
Role Responsibilities:
- Lead the day to day bookkeeping duties AR/AP
- Manage company payroll
- Organize data into QuickBooks, track expenses, reconcile bank statements
- Produce various financial reports
- Interact with the firm’s Accountant to prepare reports and tax filings
- Process Sales Tax Returns
- Reconcile Projects to verify profit
- Review & maintain business insurance policies
- Follow contractor procedures & meet requirements for bid jobs
- File Liens
- Manage incoming mail and correspondence
- Manage office supplies and general office upkeep (cleaning services, repairs etc)
- Provide general support to visitors
- Create and maintain lists, files, and databases
- Maintain historical records by filing documents
- Assist principals with miscellaneous requests
- Arrange & schedule meetings for office staff
- Arrange & schedule travel for office staff
- Plan in house or off-site activities
Candidate Profile:
- Must be able to take direction well and follow established procedure.
- Must be adaptable to change and flexible in a detail-oriented setting
- Must be willing to take on additional bookkeeping tasks as determined by Ownership.
- Proficient with QuickBooks Online
- Proficient with Microsoft Office (particularly Outlook, Word & Excel)
- Excellent interpersonal, organizational, oral, and written skills
- Attention to Detail
- Confidentiality
- Thoroughness
- 2+ years’ experience in bookkeeping
- 2+ years’ experience in a similar office administrator position preferred
- Associate degree or higher, Bachelor’s Degree preferred
- Administrative Assistant Certification a plus but not required
- Notary Certification a plus but not required
