In this role, you’ll get a chance to work on the following functions:
- Provide support for and manage all administrative matters for the immediate organization
- Coordinate with the manager to plan time and use assigned resources to accomplish tasks
- Provide overall administrative support for staff and serve as the primary point-of-contact for Time and Attendance and Travel (E-2 Travel)
- Verify and approve data while providing guidance to staff on the use of these programs/systems
- Assist in the dissemination of information to a team of lower-level administrative support personnel, ensuring information is disseminated across the collaboration, consistency, training and process improvements to facilitate a cohesive and comprehensive administrative support team
- Responsible for making travel arrangements, preparing, reviewing and submitting travel authorizations and vouchers; tracks and manages inventory of office supplies, coordinate special events; and monitors and documents property requests
- Assist with managing and updating various phone lists, organizational charts, and KSN web pages
- Prepare, review and edit executive correspondence to ensure consistency and compliance with FAA correspondence and branding requirements
- Establish and maintain an extensive filing system
- Schedule and facilitate telecons, manage minutes and action items for distribution to all team members
- Interpret regulatory and policy guidelines to assist in answering questions from employees, managers, and assist in resolving administrative issues
- Track, monitor, and prepare reports on weekly travel, correspondence and other activities using SharePoint, Excel, pivot tables, and Access
- High school diploma. Bachelor’s Degree preferred
- 3 - 5 years of experience as an office assistant or in a related field
- Knowledge of office administrative processes and programs to manage administrative matters and provide support to management and staff
- Previous experience at a Government agency and Senior Executive support
- Strong written and verbal communication skills; ability to handle executive communications, phone etiquette, etc
- Ability to interpret and apply regulatory and policy guidelines to provide assistance and guidance in resolving administrative problems and/or issues
- Ability to prioritize, plan, organize and complete multiple work assignments
- Ability to prepare written documents, read reports and prepare summaries
- Ability to work well under limited supervision, self-starter
- Ability to work with a variety of individuals from varying professional and administrative backgrounds
- Experience with MS Office suite including, but not limited to, Word, Excel, Outlook, and PowerPoint
- Ability to obtain a Public Trust security clearance issued by the client-agency
- FAA experience is preferred, but not required
