Exempt Status: Full-time, Salaried

Location: Los Angeles, CA or San Diego,CA

Department: Client Services


Supports day-to-day schedules of clients, client service team, and agents, which includes managing calendars, appointments, travel logistics, interviews, family affairs, and marketing commitments.

Supports client off court relationships and communicates with their agents, keeping them informed on their clients needs.

Supports the clients family in their personal affairs as well, including grocery shopping, travel arrangements, errands, and other similar tasks.

Supports his or her supervisor and other agents in tasks concerning client management.

Work with agents and other client service representatives to ensure accurate and timely invoicing, both to clients and client partners

Work with accounting on updating accounts payable, invoicing, accounts receivable and other accounting matters

Coordinate, execute, and track clients contractual commitments, including social media posts, appearances, and production days.

Process miscellaneous accounting and paperwork needs for agents and sponsors.

Serve as gatekeeper for incoming queries for clients; answer, screen, and direct incoming calls and emails ensuring a high level of professional customer service and confidentiality.

Schedules appointments, coordinate on and off-site meetings and special events, make travel arrangements.

Prepares reports, memos, letters, and other documents, using Word, Excel spreadsheets, or presentation software.

Maintains department databases, marketing materials and generates reports as required.

Handles logistics leading up to and throughout major events, including the draft, All-Star, and performance showcases.

Plan travel itineraries, coordinate related arrangements, gather information and determine and negotiate complex scheduling issues; prepare expense reports.

Handle both company and client personal matters with discretion.

Supports client relationships, internal-team relationships, and account operations during the development and execution of all client affairs, including accounts receivable, marketing, PR, charitable, and social media.

Responsible for supporting the day-to-day needs of agents, clients and other client services team members to accomplish client related projects.

Requirements

BA/BS from an accredited University or College or equivalent work experience preferred

2+ years of relevant experience working in a representation industry or high-level hospitality position.

Must be customer service focused in order to provide the best possible support to clients and internal team members.

Requires considerable flexibility in scheduling and the willingness to work nights and weekends.

Requires a passion for sports and business.

Advanced skills in Microsoft Office.

Proficient in Adobe Creative Suite a plus.

Strong understanding of social/digital media.

Well-developed communication skills and ability to interact with people of all demographics.

Strong analytical, organizational, and project management skills.

Requires self-management and project management abilities.

Ability to build strong and lasting relationships.

Ability to anticipate problems and manage expectations.

Ability to maintain confidentiality and professionalism in all situations.

Ability to exercise discretion, sound judgment, and significant initiative.
