We are currently seeking a Client Service Associate in our Houston, TX office who has experience working in a professional environment, is highly organized and is detail oriented. Requirements for this position include a bachelor's degree or equivalent experience and experience with Microsoft Office as well as excellent communication and interpersonal skills.
Position Overview:
The Client Service Associate provides administrative support to team members and clients by performing a variety of complex support duties in the areas of client service, financial planning, investment management, office administration and/or accounting to support Financial Advisors and Financial Planners in serving and assisting clients in meeting their goals and providing the highest quality client service with excellence.
Principal Accountabilities:
- Closely adheres to established procedures and proactively provides follow-up necessary to service client investment accounts by processing account applications, deposits, withdrawals, and transfers; mailing Quarterly Investment Reviews, and generating various investment reports as needed.
- Compose routine correspondence and emails with accuracy.
- Maintain accurate electronic records in DMS and continually update and maintain confidential and non-confidential client information in the CRM database.
- Perform some accounting tasks (accounts payable and receivable) as required.
- Process quarterly billing and generate invoices.
- Coordinate meetings, team appointments, and travel arrangements.
- Support occasional firm-wide projects.
- Process incoming and outgoing mail.
- Monitor and order office supplies as needed within budgetary guidelines; ensure office equipment is properly maintained.
- Greet clients and visitors in a warm, welcoming manner.
- Maintains the highest Compliance standards by adhering to the firm's Human Resources guidelines, Compliance policies, professional designation standards, and our industry's regulatory standards to mitigate risk to the company.
Qualifications:
- Minimum of two (2) years prior experience in a support role in administrative support, customer service, or accounting in a financial, investment banking, or accounting company is strongly preferred.
- Bachelor’s degree or equivalent experience in Management, Business, Finance, Accounting, or a related field.
- Experience with account openings, money movement and/or cashiering (deposits, withdrawals, transfers).
- Superior written and verbal communication skills.
- Strong attention to detail.
- Demonstrated knowledge of file management principles.
- Strong organization and prioritization skills with the ability to complete multiple, time-sensitive tasks and priorities with a sense of urgency.
- Aptitude and passion for learning new things quickly with a strong work ethic in an ever-changing environment.
- Capability to excel in a team environment, as well as working independently.
- Personal integrity and ability to discreetly handle confidential data.
- Desire to serve clients and co-workers with excellence.
