Clinical Administrative Assistant

Salary Range: $46,231 - $55,477 Annually

We are looking for a Clinical Administrative Assistant provides administrative support within the clinical department by taking initiative, anticipating needs, and carrying out projects in a timely manner..

The Clinical Administrative Assistant position is a full time position operating out of the San Francisco office.

What will I do?

  • Coordinate administrative tasks related to clinical assessments, eligibility reports, & clinical staff.
  • Develop and implement tracking system for completed clinical related reports.
  • Scan records into electronic records system.
  • May download clinical and other required records of potential applicants and transmit them securely and in accordance with the Agencys confidentiality policy and legal requirements.
  • Keep log of assessment testing kits and maintain and replenish kits as needed.
  • Track, collect stats and numbers for the quarterly dashboard for reporting purposes.
  • Work with management in planning weekly or monthly duties of administrative staff.
  • Support the management team in implementing work process changes and provide supports to the other administrative staff as needed.
  • Prepare and distribute correspondence, including certified mail, form letters, clinical reports, and other information for those served.
  • Respond to telephone and e-mail requests and redirect as appropriate.
  • Participate in special projects, and assist with additional duties or tasks, as assigned by a supervisor, including transcription, report tracking.
  • Assist in the compilation of metrics with clinical leadership. Compile metrics required for DDS compliance.
  • Coordinate scheduling of clinical appointments for eligibility assessments with the applicants, their families, staff, clinicians, case managers and others for eligibility assessment appointments. Input scheduled appointments on Outlook. Revise and update appointments as necessary.
  • Provide back up to Clinical Administrative Assistant and assist with other administrative tasks as needed. May provide administrative to other departments as needed. Provide back-up coverage for front desk reception area as needed.
  • Maintain all client information as confidential in compliance with the federal Health Insurance Portability and
  • Accountability Act of 1996 (HIPAA) and the California Lanterman Act.

Requirements

Who are we looking for?


Experience:

  • Associate degree or equivalent, B.A Preferred
  • Knowledge of administrative and clerical procedures and systems, managing files and records, designing forms, and other office procedures and terminology.
  • 1+ year experience in a relevant field

Desired Qualifications:

  • Coursework in Office Management or Medical Office Assistance
  • Experience in multi-cultural settings and/or multi-lingual capacity
