UCSs Major Giving and Planned Giving Programs

The Union of Concerned Scientists (UCS) is seeking a Development Associate to be part of a thirty-person development team responsible for raising the organizations entire budgetnearly $60 million each year. This individual will join the eight-person Major Gifts team, which raises $10 million annually, and support a four-person Planned Giving team, which raises more than $5 million annually. Reporting to the Associate Director of Major Gifts Operations and working collaboratively with the Major Gifts and Planned Giving teams and other Development colleagues, the Associate will provide essential support to the teams to meet our fundraising goals. This position will spend approximately 75% of their time on Major Gifts tasks and 25% on Planned Giving tasks.

The ideal candidate will have at least one year of administrative experience, proficiency in Excel, and the ability to communicate effectively across teams and manage competing requests.


The Position

Responsibilities

  • Maintain the accuracy of donor records in Raisers Edge database through data entry and hygiene. Responsible for regular activity reporting to officers.
  • Help coordinate internal briefings and travel arrangements for external donor meetings, trips, events, and general team administration, including notetaking at donor briefings and organizing items for follow-up.
  • Communicate with Development Data Operations and officers to approve acknowledgment of major gifts for acknowledgment and maintain gift documents in donor files.
  • Manage incoming donor communications and gift reports for follow-up by gift officers.
  • Maintain a calendar of funder deadlines. Collaborate with officers to complete funder proposals and reports, including sourcing content, editing drafts, compiling requested appendices, and formatting budgets and expense reports.
  • Coordinate with the Presidents office to schedule donor meeting holds and maintain a system for assigning and tracking executive outreach to donors.
  • Assist in the execution of twice-yearly appeals by providing lists, merging and editing documents, and assigning reviews to officers. Assist with other mailings as needed.
  • Other administrative tasks as needed.

Requirements

Qualifications and Experience

At least one year of administrative experience is preferred, and proficiency with Excel is highly desired. Basic project management skills, database experience, and a working knowledge of development practices are a plus. Must be attentive to detail and manage competing priorities from multiple team members in a deadline-driven environment. The position requires independent management and prioritization of many detailed tasks, an ability to ask questions, and a willingness to learn. An ability to engage in discussion around diversity, equity, and inclusion and a commitment to advancing these issues at UCS is also highly valued. Must be able to handle, safeguard, respect, and maintain confidential data.

May spend extended periods at a computer. Some travel to the Cambridge office may be necessary for tasks like mailings, up to ten days a year. Up to five days per year of travel may be required for team retreats.

Details:

This is a full-time, hybrid/remote position based near UCSs Cambridge, MA office. For those who meet all position requirements, the salary range is $53,781 to $60,500. UCS offers excellent benefits and a rewarding work environment.
