Role and Responsibilities

Under the direction of the Operations Supervisor, the Dispatcher performs tasks required by the Operations Department. (This is not an exhaustive listing of all job duties and is subject to change)

Responsibilities include extensive customer service communications via telephone, email, and websites. Also requires the supervision of drivers while promoting teamwork; along with coordinating customer service and load planning and negotiations.

  • Complete knowledge of dispatch system; rate negotiations, answering phones, receive orders, schedule appointments, enter loads, accurately input arrival and departure times.
  • Responsible for customer service issues; late arrivals, overages, shortages and damaged shipments
  • Track and monitor driver route and status to coordinate delivery and/or pick up appointments.
  • Facilitate compliance of DOT Safety Regulations by advising and instructing drivers on various safety-related topics, review existing policies and procedures under the direction of the Safety Manager to promote and support the development of the Safety Policy.

Requirements

  • Preferred Skills

    • Education and/or Experience: Requires high school diploma or G.E.D. One to two years of experience in a business office environment preferably a related transportation industry. Associate or higher degree a plus.
    • Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
    • Reasoning Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exits. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Ability to interact with various personalities, sometimes in stressful situations
    Other Skills and Abilities: The ability to work with people at all levels of the organization. Extensive knowledge of computers and PCs and various software, including but not limited to MS Office (Word, Excel and Outlook). Good keyboard skills. Excellent telephone, speech and language skills. Must possess excellent ability in dealing with diverse group of people.
