Position Summary

  • 100% On-site position, Monday-Friday

The Division Controller of Maintenance is responsible for the day-to-day management of the departments financial planning, billing, reporting, and analysis for the Van Nuys, Oxford, CT, Santa Ana, and Seattle locations. The Controller of Maintenance will report to the Corporate Controller and support the VP of Maintenance, and Director of Maintenance.

Responsibilities

  • Division Controller will plan, direct, and coordinate accounting operational functions, including general ledger, financial reporting, accounts receivable, and reconciliation of all related accounts.
  • Manage the monthly financial close process. Review and close monthly work orders and purchase orders, meeting all deadlines. Prepare the month-end work order accruals for both revenue and cost. Review shop work orders to identify and reclass consumables, shop tools, prepaid, and Capex items, ensuring reporting is correct. Record billable and unbillable shop time. Identify other location revenue and expense, hitting Van Nuys, and reclass to the appropriate location.
  • Manage and produce the monthly reporting including the flash report and the monthly financial statements. Review margins, and budget to actuals. Review expense accounts for reasonableness and accuracy. Present the financial results to operational management monthly, providing a budget to actual analysis.
  • Mentor and coach staff. Re-organize the workload for staff members ensuring the work is complete and accurate each month.
  • Direct the Account Receivable function, including collections and establishing credit terms
  • Coordinate with Accounts Payable to ensure invoices and credits are received and posted to keep the accounts payable and non-vouchered reports are clear and ensure the 3-way match is complete.
  • Review and monitor Parts and WIP inventory including reconciliation to the general ledger. Participate in the year-end physical inventory process and the calculation of the inventory reserve balance.
  • Reconcile customer and vendor deposits monthly.
  • Manage budgets and forecasting
  • Prepare analytics for all aspects of maintenance business, including sales, margins, and WIP balances, providing consistency and accuracy.
  • Create and document accounting policies and procedures
  • Work to create efficiencies within the billing department that will streamline the review, closing, and billing of work orders through the use of software and the introduction to the Oracle APEX Reporting and Corridor Information Systems.

Requirements

Education and Experience

Bachelors Degree or Equivalent preferred, as well as a minimum of 5-7 years of relevant experience in accounting, cost accounting, and financial reporting. Must have the ability to present and discuss issues with C-level executives through email and phone communications, and meetings at Clay Lacy Facilities.

  • Intermediate Computer Skills MS Outlook, Office, Excel, PowerPoint, and Clay Lacy Programs/Financial Reporting Software. Corridor, Great Plains, Vena Reporting systems or equivalent experience.
