Overview

The Executive Assistant is responsible for providing high-level administrative support to the President and CEO. Creates and assembles letters, memos, and reports. Directs telephone calls and visitors. Prepares documents and assembles and maintains statistical data. Records and distributes minutes from Board and Committee meetings. Performs and oversees specific projects and programs as assigned.

Duties and Responsibilities

  • Assists the CEO and President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Serves as the Presidents administrative liaison to the Board of Directors and coordinates new Board member orientation. Maintains Board member contact information.
  • Attends Board and Committee meetings, takes notes, drafts the minutes and submits to management for review and approval; maintains confidential files.
  • Compiles and distributes Board and Committee meeting materials.
  • Coordinates Executive, Finance, Governance & Nominating, Loan and Audit Committee meetings and conferences, both on and off site to support the Presidents agenda.
  • Manages/coordinates board meetings and travel accommodations/reimbursements.
  • Maintains Board portal (Boardvantage).
  • Assembles, tabulates, calculates, and maintains financial and statistical data on a regular and special basis.
  • Maintains policy manuals and other library reference materials.
  • Assists with the coordination of the Annual Shareholders meeting.
  • Refers customers requests/complaints or problems to the appropriate personnel.
  • Communicates with the staff and coordinates logistics of high-level meetings both internally and externally. Coordinates meetings and strategic activities with the executive staff, and Board members.
  • Drafts reports, letters, proposals; prepares and coordinates oral and written communication with the staff.
  • Coordinates quarterly staff meetings. Compiles meeting presentation and coordinates catering arrangements.

Additional Responsibilities

  • Oversees the organizational chart and is responsible for business cards orders, parking validation, building badge access, and gym access.
  • Oversees, distributes and stores office supplies including stationary, new employee welcome basket, and pantry orders. Coordinates with IT department for office equipment requisition.
  • Provides assistance as needed to front desk operations to include but is not limited to, mailing, answering phones, accepting packages and other deliveries, and greeting and signing in visitors/guests.
  • Maintains the office condition and arranges the necessary repairs.
  • Manages webinar/conference/training registration for the overall staff.
  • Assists with CTV connectivity for staff and clients/vendors meetings.
  • Manages evacuation/shelter in place of the office and common areas in the floor. (Floor warden/Suite monitor)
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Requirements

Education/Certification:

  • High school graduate or equivalent. Some college preferred.

Required Knowledge:

  • Excellent MS Office Suite knowledge.

Experience Required:

  • Minimum three years of related experience required.

  • Excellent interpersonal skills and the ability to build relationships. Cooperative and willing to assist others.
  • Demonstrates discretion and confidentiality.
  • Excellent written and verbal communication skills.
  • Excellent time management skills, ability to multi-task and prioritize work.

Job Location: Oakland

Job Type: Full-time

Salary:

$32.75 - $37.35 / hour

Salary may vary depending on multiple factors including but not limited to skill level, depth of work experience, education, relevant licenses/credentials, and geographic location.
