SM Diversity is looking for an Executive Assistant to perform a variety of administrative tasks and support our companys President and CEO. To be successful, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support.


Location: Seattle, Washington (Hybrid, roughly 1-2 days in offer per week)

Pay: $32 to $45 (DOE)


Responsibilities

The Executive Assistant provides comprehensive support to our President and CEO by streamlining day-to-day activities to help the organization meet its goals and mission. The Executive Assistant will also provide administrative support to the Board of Trustees.

Some duties include though are not limited to:

  • Manage CEOs calendar, ensuring their time is allocated to the highest priorities, and coordinate with staff to ensure the schedule is followed and respected
  • Partner with staff across the to ensure the CEO is well-prepared for upcoming meetings and speaking engagements.
  • Provide a bridge for communication between the Presidents Office and other internal departments, trustees, partners, and community leaders.
  • Address incoming issues and communications on behalf of the CEO, including those of a sensitive or confidential nature; determine appropriate course of action, referral, or response.
  • Work closely and effectively with the CEO to keep them well-informed of upcoming commitments and responsibilities, following up on action items accordingly.
  • Prioritize and manage competing needs and handle matters efficiently and proactively.
  • Complete and submit expense reports and arrange travel

Requirements

  • Five (5) years experience providing support to executive-level positions
  • Ability to multi-task, problem solve, and meet deadlines in a fast-paced environment
  • Effective communication skills with attention to detail and a high degree of accuracy
  • Ability to work effectively with a diverse group of individuals
  • Commitment to the company mission and vision, including our commitment to racial and economic equity
  • Proficiency with MS office including Outlook and Teams
  • Consistent professional integrity with the ability to work with highly confidential information
  • Effective organizational skills and ability to adapt and respond to changing needs
  • Project management skills; meeting and event planning experience
