We are looking for a new Executive Assistant to support our President/CEO. The Executive Assistant will provide assistance and support to the President/CEO as well as handle management of the administrative office functions and supervision of clerical staff. The Executive Assistant will assist in addressing a variety of administrative, community relations and public information issues; serve as liaison to the Board of Directors; perform varied, complex, sensitive and confidential office administrative and secretarial support functions for the President/CEO; and performs related duties as assigned.

Key Responsibilities:




  • Delivers high level administrative support to the President/CEO

  • Manages calendar for President/CEO, performs schedule management and travel arrangement for President/CEO to include coordinating rooms, preparation of supplies, organization of conference calls, weekly prioritization of schedule and commitments, organizes all on-site and off-site meetings including meeting location, A/V, agenda preparation and execution, food and beverage, room-set up, etc.

  • Acts as goodwill ambassador for the President/CEO and Volunteers of America Southwest.

  • Identifies and prepares office support materials including letters, documents, reports, contracts, check requests, expense reports, mail organization, and other correspondence and proactively takes a primary role in all support items for the CEO.

  • Prepares materials, minutes, agendas, and presentations, and all other meeting materials.

  • Arranges Board of Directors and Board of Executive meetings and ensures all Board of Directors records are kept accurate and current.

  • Maintains office filing systems.

  • Creates and manipulates data lists for mailings and other projects as needed.

  • Performs other duties as assigned.



Qualifications:




  • 7+ years of progressively responsible secretarial/administrative experience; 3+ years of experience supporting Senior Director or higher.

  • Bachelor’s degree is preferred.

  • Must have strong organizational, project management, and time management skills.

  • Proven ability to handle confidential information with discretion and maintain tact and diplomacy in interacting with others.

  • Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint); ability to quickly learn and utilize other company applications.

  • Must be able to thrive in a fast-paced and challenging environment.

  • Must be positive, upbeat, self-starting and have a can-do attitude.

  • Have friendly and professional demeanor.

  • Must be resourceful and proactive.

  • Supervisory experience is preferred.

  • Must be able to lift 40 lbs. of filing boxes as needed.

  • May occasionally work weekends.

  • Some travel is required.
