Summary/Objective

The Facilities and Events Coordinator is a hands-on role which assists with a wide variety of operational functions, including the smooth running of our Rochester office on a day-to-day basis. The coordinator will understand the personality of executives and help to support a cohesive team atmosphere through a deep understanding of Security Risk Advisors mission, vision, and services. This position is non-exempt/overtime eligible.

Essential Functions

  • Purchase, unpack, organize, and restock office supplies, including snacks and beverages. Keep track of supply inventory and stay within budget.
  • Ensure that office kitchen and workspaces are tidy and properly maintained, and that furniture and equipment are in good condition.
  • Work with building management regarding any repairs or improvements.
  • Coordinate office visits involving vendors, clients, and other guests.
  • Manage security credentials for employees.
  • Work with Business Operations to develop and communicate office policies and procedures.
  • Serve as a liaison to employees, vendors, and building and security staff on issues relating to office management.
  • Coordinate catering and event planning for events and special projects as needed.
  • Receive mail; scan, file and distribute documents.
  • Regularly evaluate existing office space and make recommendations to optimize.
  • Provide occasional administrative and travel support to team members.
  • Support relevant aspects of new employee onboarding.
  • Provide administrative and clerical support to the broader business operations group.

Requirements

Competencies

  • Effective written and oral communication skills.
  • Attention to detail.
  • Advanced skills in Word, PowerPoint, and intermediate knowledge of Excel.
  • Strong organizational skills and ability to juggle multiple tasks.
  • Strong interpersonal skills.
  • Ability to remain calm under pressure.
  • Flexibility with shifting deadlines, schedules, and appointments.
  • Discretion with all company and personal information.

Preferred Qualifications and Experience

  • College degree a plus but not required.
  • At least one year of experience in a related role.
  • Able to lift office products and supplies, up to 25 pounds.
  • Comfortable learning new technologies.

Work Environment

This job operates in a professional office environment or remotely as needed/required. This role routinely uses standard office equipment.

While performing the duties of this job, the employee is regularly required to talk and hear; use hands to finger, handle, or feel; and reach with hands and arms. The employee frequently is required to stand and walk. This is a largely sedentary role.
