We are seeking an organized File Clerk to manage and maintain files for United States Attorneys Office in Ohio. You will organize paperwork using an efficient filing system and digitalize all necessary documents. You will be expected to protect and update files and make them easily accessible to your colleagues. A file clerk must be organized and understand confidentiality and data protection seriously. The ideal candidate will be skilled in computers and detail-oriented. The goal is to preserve the agency's records and manage paperwork effectively.

Requirements

  • Responsible for maintaining an accurate/updated log/spreadsheet of all closed files in the closed file rooms/storage areas for tracking and retrieval of case files
  • Responsible for maintaining an accurate/updated log/spreadsheet of all shredded files
  • Responsible for disposing of electronic media by completing and submitting Request for Disposal of Electronic Media form
  • Responsible for locating requested closed files for AUSAs and legal assistants from USAO closed file rooms/storage areas and returning closed files to proper location once AUSA or legal assistant is finished with the file
  • Maintain a log of requested closed files, to include date closed file sent to AUSA/legal assistant and date closed file returned to closed file room/storage area
  • Responsible for requesting closed files from Federal Record Center (FRC)
  • Create record request in ARCIS to transfer case for a temporary loan from FRC to USAO field office.
  • Review closed files to ensure files are properly purged, have signed Conflict of Interest (COI) form, and signed orange closing sheet (USA 207)
  • Send back any improperly closed files or files missing necessary forms to AUSA's legal assistant
  • Responsible for purging any former AUSAs' closed files that have not been purged
  • Prepare files for shipment to FRC or to be shredded
  • Responsible for disposing of electronic media by completing and submitting Request for Disposal of Electronic Media form
  • Preparing files for shipment to FRC
  • Create transfer in ARCIS to obtain a transfer number
  • Ensure case files are properly purged according to Purge List
  • Prepare boxes for shipment, which include transfer number and proper labeling
  • Prepare case listing log for each box
  • Ensure proper sealing of boxes
  • Set up freight shipment with FedEx
  • Input information in CaseView under Records Center Tab for district storage (see instructions on SharePoint).
  • Assist with set-up of 5th floor closed file room/shipping area.
  • Daily Docket Run
  • Collect mail from the appropriate mail slots from the USAO outgoing mailroom and distribute to Clerk's Office on the 1st floor
  • Retrieve mail for USAO from Clerk's Office on the 1st floor and date/time stamp and distribute to appropriate USAO personnel
  • Draft miscellaneous administrative correspondence as needed
