Title: Finance and Procurement Specialist (2093)

Location: 101 N. 1st Ave., Suite 1400, Phoenix, AZ 85003

Pay Rate $ 28.00 per hour

Work shift Standard (8am - 5pm)

Position Description

  • Under general supervision the Finance and Procurement Specialist provides administrative and technical support to the assigned division.
  • Typical duties include gathering essential information from Contracts and Procurement staff, entering and updating relevant information into the system database in a timely manner, interpreting policies and procedures, and assisting with coordinating department processes and procedures.

Skills Required

Knowledge of

  • Microsoft Office (Word, Outlook, Excel)
  • Oracle applications
  • Electronic database maintenance and records retention principles
  • Recordkeeping practices, principles, and procedures
  • Proper English, spelling, and grammar principles
  • Modern office practices and procedures and equipment
  • Customer Services principles.

Skill in:

  • Using a computer and related software applications for assigned work, compiling and preparing relevant data and information documentation
  • Entering information into system database
  • Performing technical, specialized, complex or difficult office support work

Essential Duties and Responsibilities: (These duties are intended to be a representative sample and not all inclusive position assignments may vary.)

  • Assists Operation and Maintenance Contracts and Procurement staff with contracts and procurement related documentation and monitors accuracy, quality, and integrity of documents produced.
  • Ensures accuracy of procurement documentation and enters information into system database. Evaluate and approves or rejects budget proposals and funding request Forecast and tracks financial result throughout the year to meet budget projections Determines if budget proposals are in compliance with regulations Helps identify financial or operating risk associated with the execution of the contract or project Identifies any inaccurate information when entering information into system database and communicates findings with procurement staff.
  • Maintains document control management processes in accordance with Agency documentation and records retention processes and procedures. Independently manages sensitive and confidential contracts and procurement related information.
  • Demonstrates initiative and independent judgment gained through work experience, technical training, and agency policies and procedures. Prepares information necessary for administrative decisions and/or responds independently to inquiries when appropriate.
  • Performs various administrative duties as needed; assists supervisor and staff with special office projects.
  • Provides additional records management support as directed

Experience Required

  • Minimum Qualifications: High School Diploma and three (3) years of progressively responsible administrative and technical support experience, two (2) years of which include data entry and experience in performing records and file management functions including experience with document control systems; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties such as those listed above. Licenses and Certifications: Positions may require: --Valid Arizona Driver's License

Education Required

  • Minimum Qualifications: High School Diploma and three (3) years of progressively responsible administrative and technical support experience, two (2) years of which include data entry and experience in performing records and file management functions including experience with document control systems; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties such as those listed above. Licenses and Certifications: Positions may require: --Valid Arizona Driver's License

  • Physical Demands: Positions in this class typically require: fingering, grasping, talking, hearing, seeing and repetitive motions. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
