The HRIS Coordinator drives our mission by supporting the HR team and working with employees and managers across the business to ensure excellent customer service, good judgment, and support. This hands-on critical thinking role provides support in the areas of onboarding, employee data and files, HRIS system, auditing, and reporting, leave reconciliation, payroll processing, and off-boarding with discretion and strong organizational skills to maintain balance among multiple priorities. This position also functions as a link between various departments within the company. Due to the organizations growth, this positions duties may expand.

What youll do:

  • Maintain general HR inbox with appropriate sense of urgency by responsively answering general employee related questions and being able to explain human resources policies and procedures; general HR inbox could be via Outlook or via HRIS inbox
  • Proactively identify opportunities and assess improvements to the employee experience and partner with the HR team to develop and implement innovative and lasting solutions
  • Create, gather, review, analyze, complete and audit high volume of new hire paperwork, including I-9s, E-Verify and retention of employment eligibility forms in a compliant and timely manner
  • Create and maintain personnel files; Main POC for all personnel files and will work to digitalize paper documents and other electronic documents to be ingested into the HRIS; Ability to organize thoughtfully efficient filing to facilitate updating and retrieving files
  • Responsible for leave reconciliation between Deltek actuals and HRIS leave requests updating balances after each time period has closed
  • Assists with payroll processing to include timecard review, bonus files, review/audit of 401(k) changes and other tasks as needed
  • Assist in collecting data for compliance audits (UHY, URAC, 401(k), etc.), which requires detailed organization and time-sensitive responses
  • Coordinate all off-boarding activities to include system processing, notifications, and correspondences in a time-sensitive manner
  • HRIS database management including preparing, maintaining, entering, updating data, and auditing of employee record changes for accuracy while maintaining highest levels of data integrity
  • Assist in reviewing/processing Personnel Action Forms (PAFs) workflows for employee changes (new hires, terms, job changes, Rewards & Recognition etc.)
  • Create HR data validation processes in HRIS to catch data anomalies or defects.
  • Help maintain data integrity in systems by running audit reports and analyzing data with advanced Excel skills
  • May assist with testing HRIS system changes, new reports, security access profiles, and other HR system tasks.
  • Create or enhance reports or queries using reporting tools
  • Generate employee letters and documentation as needed either via HRIS, Word mail merge or Adobe PDF
  • Respond to verifications of employment in a timely manner
  • May help to maintain employee information pages and employee documentation library.
  • Partner effectively with HR, Payroll, and IT on corresponding activities

What youll need:

Required Qualifications

  • Advanced Outlook, Excel, Word, Adobe PDF skills
  • Associate Degree or equivalent HR work experience

Knowledge, Skills, Abilities

  • Ability to effectively present information and respond to questions
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Must be adept at problem-solving, including being able to identify issues and resolve problems in a timely and independent manner.
  • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings.
  • Must be able to prioritize and plan work activities as to use time efficiently.
  • Must be organized, accurate, thorough, and able to monitor work for quality.
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
  • High degree of initiative and self-motivation
  • Able to independently work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Must understand the importance of discretion and handling confidential information.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.

Experience

  • 1+ years of experience with HRIS systems
  • Experience with CostPoint
