About the Role and our Team:

Youll be joining our People Operations function (aka The Peeps team) and provide day-to-day HR operations support impacting many areas including but not limited to; onboarding and offboarding, benefits and leave administration, compensation, HR systems, policies and processes, immigration, and compliance.

Our People Ops team is a close-knit and collaborative group of self-motivated, results-driven individuals who support our community through our professional skills and people-centered approach. We are looking for an HR professional who holds themself and their work to a high standard for the betterment of the team and company. We need someone who can attend to all the details and processes but also has a desire to think big picture and bring ideas to the table to improve our collective experience.

Responsibilities:

As a member of the People Ops team, you will work most closely with the People Ops Lead, with regular collaboration and contribution with other teammates. We are expected to be flexible and adaptable so we can support one another and pitch in when needed. Additionally, we will support your areas of career interest and not limit you to only the duties described here. Some of your job duties may include:

  • Facilitate onboarding for new hires and support offboarding processes.
  • Administer all benefit programs (e.g. health, dental/vision, disability, HSA, FSA, oversight of COBRA administrator, etc.) including day-to-day employee support, liaising between carriers and broker, regulatory compliance and reporting, data and census requests.
  • Prepare and execute on annual benefits open enrollment activities (e.g. renewal process, HRIS system configuration, employee engagement and learning sessions, etc.)
  • Coordinate employee leave of absence, including federal and state statutory leaves (FMLA, OFLA, etc.),
  • Support employees through disability accommodations interactive process.
  • Create employee communications, slide decks, and intranet content. Continuously cultivate and improve the look and feel of People Ops employee-facing materials.
  • Ensure compliance with federal, state, and local employment laws and regulations and proactively stay up-to-date with changes.
  • Manage immigration processes to pursue or maintain employee work authorizations, in partnership with internal teams (Legal, Hiring, People Ops) and outside legal counsel.
  • Monitor immigration strategy for impacts to current and future employees.
  • Provide individualized support for employees with work authorization, managing the sponsorship paths paperwork and milestones.
  • Support the continuous development and improvement of HR operational processes.
  • Maintain accurate data and records in HRIS (ADP) and employment files.
  • Provide research and analysis for HR areas and emerging People Ops initiatives.
  • Minimal travel to visit Galois office locations. This is at your discretion and we will respect your personal schedule and travel preferences.
  • Provide backup support for Facilities & Events when needed for coverage (e.g. during PTO or interoffice travel).

Knowledge / Skills / Abilities:

  • Thorough knowledge of employment-related laws and regulations in a multi-state environment.
  • Highly organized, attention to detail and excellent follow-through.
  • Ability to work well independently and in a distributed team environment (e.g. communicates proactively and frequently; adept at using asynchronous, digital collaboration tools)
  • Proficiency with or the ability to quickly learn our HRIS (ADP) and other People Ops systems and tools.
  • Ability to handle multiple, time-sensitive activities while maintaining quality of work.
  • Ability to work with and analyze data and information and presenting in a way that tells a clear and effective message.
  • Thinks multiple steps ahead; prepares for potential problems and escalates issues when appropriate.
  • Strong written and verbal communication skills.
  • Eager to learn any HR concepts with which you don't have knowledge or experience.
  • Ability to develop relationships with people across the organization and be a welcoming, effective resource for employees.
  • Ability to act with integrity, professionalism, and confidentiality in alignment with our Core Principles and Behaviors.

Required Qualifications:

  • 3+ years HR Generalist experience
  • Multi-state HR experience
  • Experience managing projects, including task breakdown and prioritization.

Preferred Qualifications:

  • Experience in Immigration / Employment Sponsorship administration.
  • Experience in recruitment lifecycle.
  • Experience with building and delivering onboarding orientations, compliance training, and other organizational L&D programs.

We enjoy a hybrid work environment, which means we will work with you to design the best balance of in-office versus remote working. Candidates are ideally co-located with our offices in Portland, OR or Arlington, VA.

Transparent Compensation:

Compensation is based on the value of your results, not your value as an employee or person. The compensation process, individual salaries, and criteria for salary changes are transparent to the entire company.

This position has a typical Portland-based salary range of $80,508 - $93,202.
