This position will work directly with the Operations Manager and other office personnel to schedule, assign and dispatch field technicians as required. In addition, the service coordinator will support the operations manger in coordinating all purchase orders, managing work orders, billings and inventory control. The position requires an excellent ability to multi-task, organize prioritize and provide our customers, both internal and external, with superior customer service.

Requirements

** Our operations a supported by the ServiceTitan platform. Working knowledge of ServiceTitan is recommended. **

General Duties:

  • Dispatch, schedule, and assign work orders and service requests across all business units.
  • Manage email communications and filing system
  • Manage Inventory log and proper placement of parts. Assist in the quarterly orders of parts and supplies.
  • Manage purchase orders created for the service team
  • Answer phone calls and support service staff as needed
  • Create and manage service request work orders with a clear scope of service(s) to be performed in detail.
  • Enter data accurately in the work order notes to ensure correct invoicing
  • Ensure proper information for all business units is obtained and entered correctly in ServiceTitan for all service calls
  • Assist all business units with estimates and proposals as well as other written communications
  • Assist with data collection and management of accounts, leads and business campaigns via our CRS platform (SalesForce)

Administrative duties include (but not limited to)

  • Creating purchase orders by request with complete detail and accuracy
  • Assist with research as needed for vendor invoice discrepancies and issues
  • Assist Operations Manager in resolving customer billings and AR collection activities as needed.
  • Update purchase orders with information from received packing slips
  • Identify issue regarding customer account delinquencies for review with the Operations Manager
  • Assist with other duties as assigned by the operations manager

Required Skills and Abilities:

  • Experience and working knowledge of SalesForce and ServiceTitan is recommended.
  • Strong communication, problem solving and analytical skills is required
  • Knowledge and ability to lift heavy objects without injury to yourself or others
  • Excellent attention to detail with an eye for accuracy
  • Excellent organization skills, and ability to read and interpret field service work orders and identify the right course of action.
  • Knowledge of general accounting procedures.
  • Must be a self-starter and able to work independently in a fast-paced environment.
  • Creative, self-disciplined, and capable of identifying and completing critical tasks independently and with a sense of urgency
  • Exceptional customer service skills, high-level of courtesy, patience and professionalism are required in communications with our clients as well as BME team members.
  • An eagerness to learn and grow with the company is highly desired.

Education Requirements:

  • Bachelor's degree in a related field of study such as Construction Management or Accounting is a plus, but not required with equivalent work experience in a Service Manager/Coordinator/Dispatcher role.
