JUNIOR OPERATIONS SPECIALIST



The
Operations Specialist
role sits within the Market Strategy & Automation team (MS&A) in Darwin and is responsible for capturing and translating business strategies and provider requirements into Darwin documentation ensuring they align with current and future needs. Using a proprietary version of UML (Universal Modelling Language) for design and document functional requirements.

They also analyse and improve existing and future business processes. Additionally, provides support for UI testing and demo of the products and help manage project scope while applying best practice & becoming subject matter expert in their respective markets (countries around the globe).


THE ROLE & YOUR MISSION



Technical


Initiate and nurture relationships with Global Benefit Carriers (providers), managing standard product interactions, troubleshooting, and documentation processes.

Support the productisation of Carrier (Benefit provider) benefits to facilitate the streamlined implementation and service of Darwin, ensuring efficient and effective solutions for our clients.

Translate intricate Benefit Carrier requirements into precise Darwin technical specifications. Collaborate closely with the Darwin Product and Technology teams, as necessary, capturing standard report formats and ensuring seamless integration.


Quality and reporting


Maintain and update the 'Global Provider and Benefits Database,' ensuring comprehensive coverage of the diverse global market and its compatibility with Darwin.

Keep track of task statuses using designated tools such as JIRA and Confluence, ensuring real-time visibility into ongoing activities.

Respond to ad hoc exercises and issues promptly, demonstrating flexibility and adaptability in handling unforeseen challenges.

Meet Service Level Agreements (SLAs) by ensuring the quality and accuracy of tasks, upholding the company's standards consistently.

Successfully manage workload peaks without compromising the quality of work, maintaining high standards even under pressure.

Collaborate with functional peers to deliver tasks and activities as outlined, ensuring successful completion within specified timelines


Stakeholder management and Project Management


Facilitate end-to-end delivery of small-sized projects, ensuring seamless execution and success.

Initiate and cultivate relationships with Global Benefit Carriers (Providers), managing standard products, reports, processes, and troubleshooting activities to uphold the company's high-quality standards.

Interface with internal and external partners as needed, fostering collaboration to enhance efficiency, client satisfaction, and overall profitability.

Monitor project progress, identify potential risks, and implement mitigation strategies to ensure successful project outcomes.

Attend all mandatory training sessions to enhance skills and stay updated on industry best practices.

YOUR EXPERIENCE & VALUES



Technical


Basic SaaS Knowledge - a fundamental understanding of what SaaS is and how it differs from traditional software.

Basic Data Analysis Skills - familiarity with spreadsheet software (such as Excel) and the ability to perform basic data manipulations like sorting, filtering, and creating charts.

Documentation and Diagramming Tools - proficiency in using tools like Microsoft Word, Excel, and PowerPoint for documentation purposes is essential. Additionally, familiarity with diagramming tools like Microsoft Visio can be a plus.

Attention to Detail - have a keen eye for detail, especially when it comes to documenting requirements and user stories.

Experience in the SaaS, HCM or payroll industry is a plus.


Communication


Comfortable using communication and collaboration tools such as email, instant messaging platforms (like Microsoft Teams), and project management tools (such as Jira).

Demonstrate excellent written and verbal communication skills in English, ensuring clear and concise interactions with stakeholders.

High interpersonal skills and experience level to build and maintain positive relationships with users, fostering a collaborative and cooperative work environment.

Knowledge of flexible benefits terms, payroll, and taxes is a plus.

Excellent written and verbal communication skills in Romanian and English.


Project management


Basic Understanding of Software Development Lifecycle (SDLC) - basic understanding of the software development lifecycle, including concepts like requirements gathering, design, development, testing, and deployment. Knowledge of Agile methodologies, even at a basic level, is a plus.

Demonstrate and maintain high-quality standards, ensuring accuracy and precision in every aspect of the role.

Exhibit flexibility and creativity in work methods, employing innovative approaches to tackle challenges in diverse and demanding situations.

Manage effective delivery by adapting strategies and problem-solving techniques to meet evolving project requirements.

Ability to engage proficiently with technical subjects, capturing complex requirements, translating them for diverse user groups, and maintaining comprehensive documentation to support collaborative efforts.
