What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. Overview


The Smithsonian lnstitution is the worlds largest museum and research complex, consisting of 19 museums and galleries, the National Zoological Park, nine research facilities and the Smithsonian Libraries. The mission of the National Zoo and Conservation Biology Institute (NZCBI) is to save species by using cutting-edge science, sharing knowledge, and providing inspirational experiences for our guests.

This position provides a variety of financial, procurement and clerical support services to one or more departments or programs. As a Management Support Assistant, you will be responsible for financial management, budget administration, procurement and or human resource's function. You will also assist supervisors and managers with regulatory procedures and requirements.


Duties and Responsibilities


In this position, you will:

  • Assist in tracking income and expenditures from a variety funds.

  • Order a variety of goods and services using the agencys procurement system.

  • Provide staff guidance and recommendations around new/established requirements, regulations and procedures related to administrative operations.

  • Prepare and track forms for billing, receiving, disbursing, and/or transferring funds, follow-up on transactions to ensure completion.

  • Prepare, review, certify, and approve travel authorizations/vouchers in the travel system.

  • Prepare or review outgoing correspondence for grammar, format and correctness.

  • Serves as timekeeper for the organization or unit, monitoring and coordinating the timely and accurate submission of Time and Attendance.

  • Provide general office support.

  • Performs other related duties as assigned.


Qualification Requirements


Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the grade IS-05 or GS-05 level in the Federal Service.

For this position, specialized experience is defined as experience in providing administrative support functions for at least four of the following: managing files, timekeeping, scheduling, travel arrangements, travel authorizations and vouchers, procurement via company credit card, and preparing reports. Must also have customer service experience. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education: 1 full year of graduate level education; or superior academic achievement.

Or a Combination: Education and experience may be combined to meet the basic qualifications; for example, a half year of experience and a half year of education in the field may be qualifying.
