Impact, (link removed), a strategic marketing, communication, and public relations firm, is currently seeking an office manager/executive assistant for our Newark, NJ office to perform lead administrative duties and provide operational and project management support. This individual will also be responsible for coordinating the efforts of team members, overseeing project deadlines and working with the bookkeeper for invoicing and billing. Additional duties include fielding telephone calls, coordinating meetings, drafting proposal outlines, creating spreadsheets, filing and taking meeting notes. Extensive software skills are required, as well as Internet research abilities, social media awareness, and strong communication skills. Candidates should be fun, energetic, trustworthy, and well-spoken.

 



Candidates must have a cell phone, access to high-speed internet and be able to work remotely on occasions. This is a salaried position up to $35,000 per year depending upon experience. Healthcare insurance is available after 60-days. Optional IRA plan and accumulation of vacation and sick days are available after the orientation period. Perks and other bonuses are awarded based on accomplishments.

Responsibilities Include:




  • Drafting, implementing and reviewing operational policies and procedures.

  • Assisting with recruiting when necessary.

  • Helping to promote a company culture that encourages top performance and high morale.

  • Ensuring business certifications and necessary documents are filed and monitor compliance

  • Answering phones and routing calls to the correct person or taking messages.

  • Filing and retrieving corporate records, documents, and reports.

  • Researching and conducting data to prepare documents for review and presentation

  • Helping prepare for meetings and working with senior stakeholders.

  • Accurately recording notes from meetings.

  • Greeting visitors and providing general administrative support

  • Using various programs including Microsoft Office, Adobe Acrobat, Basecamp and Box

  • Performing office duties that include ordering supplies and managing a records database.

  • Research, writing, social media experience

  • Proficiency working with PC and associated office software (Microsoft Word, Excel and PowerPoint)



 



Required Education:




  • Bachelor’s degree or higher AND

  • 3 years of administrative and/or project management or other related work experience
