MAJOR FUNCTION

Under the supervision of the Director of Nursing, the Nursing Department Assistant handles administrative duties within the Nursing Department office. Performs clerical duties to maintain an organized healthcare office and allow medical staff to focus on patient care.

ESSENTIAL FUNCTIONS

  • Answers phones, makes copies, schedules appointments and maintains supplies
  • Assists with the coordination and administration of the vaccine program
  • Provides support to nursing and clinical staff for using the electronic medical records system, Athena
  • Administers and maintains patient records, breaks down medical charts for record keeping and coordinates billing.
  • Maintains a line of communication between the patient and clinical staff, and communicates with clinical staff to ensure all appropriate patient information is gathered.
  • Assists the Director of Nursing in the development of policies and procedures that govern nursing services and other services under his/her position control.
  • Under the supervision of the Director of Nursing, assists in collaborating with other departments and agencies regarding resources and services for improved patient care and staff development.
  • Audit Daily chart review pre-visit planning
  • Monitor morning huddles
  • Audit care coordination for Hospital admission and discharge
  • Complete nurses monthly vacation schedule and request for time off..
  • Retrieve daily staff callout messages and staff accordingly
  • Daily monitoring of clinical employees, clinical area, and clinical p/p: flow of patients, coding, nursing logs, etc.
  • Monitor and Audit Medication Management and Medical Equipment
  • Monitor and Audit VFA/VFC and private vaccine.
  • Monitor and audit Infection Control and Patient Safety audits,
  • Attend required and designated meetings.
  • Under the direct supervision of the Director of Nursing, supports and enforces infection-control policies and procedures.
  • Participates in orientation and in-service training for personnel.
  • Assists the Director of Nursing during the performance evaluation process to ensure timely completion.
  • Under direction of the Director of Nursing, schedules or registers staff for educational in-services/seminars.
  • Monitor log books, projects, and ensures that staff persons are complying with the policies and procedures of the nursing department.
  • Working with clinical teams, maintains on-going awareness of patient flow and ensures the proper scheduling of patients in coordination with the Director of Nursing.
  • Assists with scheduling and monitoring absences.
  • Assists Director of Nursing with planning special events.
  • In-puts medical data into various computer programs
  • Representative of the nursing department on the Process Transformation team.

ADDITIONAL RESPONSIBILITIES:
  • Attend job related training as mandated.
  • Meets dress code standards; appearance in neat and clean.
  • Maintains regulatory requirements.
  • Reports to work on time and as scheduled; completes work within designated time.
  • Wears identification while on duty; uses computerized punch time system correctly.
  • Maintains patient confidentiality at all times.
  • Completes in-services and returns in a timely fashion.
  • Attends annual review and department in-services, as scheduled.
  • Attends a minimum of 10 staff meetings annually; reads monthly staff meeting minutes.
  • Represents the organization in a positive and professional manner.
  • Actively participates in performance improvement and continuous quality improvement (CQI) activities.
  • Complies with all organizational policies regarding ethical business practices.
  • Communicates the mission, visions and goals of the facility, as well as the focus statement of the department.
  • Performs other duties and assumes other responsibilities as apparent and/or as assigned by Director of Nursing. Duties, responsibilities and activities may change or new ones may be assigned at any time with or without notice.

Requirements

EDUCATION & EXPERIENCE:

  • High school degree required; Bachelors degree preferred
  • Preferred minimum of 2 (two) years supervisory experience
  • CMA with experience in an ambulatory care center preferred
