POSITION SUMMARY The Nursing Support Specialist will provide administrative support for the departments Vice President as well as the other functional areas of the department which includes, Nursing, Education, Research, and Practice. This role is responsible for assisting with day-to-day administrative duties, project management, coordination of corporate outreach and meetings with external partners and stakeholders. DUTIES AND RESPONSIBILITIES - Provide administrative support to Vice President, Sr. Director, Director, and other department staff as needed.
- Record and maintain minutes of national committee meetings for the Convention Program Committee, Education Advisory Committee, Evidence-Based Practice Committee, Research Advisory Panel, and other designated committees or task forces when applicable.
- Serve as liaison and provide support for the Vice President in preparing for, attending, and following up on various meetings.
- Assist department staff with budget tracking, submitting bills, check requisitions and reimbursements for internal and external teams.
- Assist in the preparation and scheduling of meetings, including Agenda preparation.
- Manages, coordinates, tracks, and facilitates ANCC CNE processing and recordkeeping in collaboration with Director of Accreditation and Continuing Nursing Education and nurse planners.
- Coordinates maintenance of CNE accreditation through development of annual reports and assists in the preparation for reaccreditation and ongoing appraisal of compliance with accrediting agency requirements.
- Serves as project manager for department initiatives. Includes establishment of timeline, coordination of team, identification of challenges and strategies to mitigate challenges, and conduct post project reviews.
- Creates, organizes, and maintains file structures in collaboration with IT.
- Assist with solicitations and other department mailings.
- Coordinates the convention shipping and packing process.
- Complete other activities as assigned and/or delegated.
CONTACTS Interfaces with others both within and outside the organization to obtain or clarify information or provide information or facts. Contacts may be by phone, virtual or in person. SUPERVISION Reports to Vice President, Nursing, Education, Research and Practice and receives work guidance from other department staff as needed. Routine assignments are managed independently. Clear guidance may be given on difficult or non-routine assignments. Occasionally work is reviewed while in progress. Requirements QUALIFICATION REQUIREMENTS - Bachelors degree or equivalent experience
- At minimum of three years of related experience preferably in a not-for profit organization, healthcare/medical association, or professional society
- Demonstrated proficiency in creating, organizing, and maintaining databases and file structures.
- Strong organizational, administration and interpersonal communications
- Strong writing skills
- Possess good analytical skills and the ability to identify and utilize information resources.
- Ability to prioritize multiple and constantly changing tasks, remain flexible often under very tight deadlines.
- Project management experience required.
- Demonstrated proficiency with Microsoft Office 365 applications including MS Word, Excel, PowerPoint, OneDrive, SharePoint, and Teams.
- Demonstrated ability and versatility to work both independently as well as within a team environment.
- Demonstrated proficiency in all aspects of virtual meetings using Teams and Zoom.
