URGENT

  • We can modify the hours to an earlier time by (link removed) if necessary to fit candidate. The Office Assistant Engineering provides a variety of clerical and support services work of limited complexity to the Engineering division within the Transportation department. Maintains calendars, schedules meetings and appointments; prioritizes and resolves complex meeting schedules; coordinates meeting rooms and resources. Prepares meeting agendas and presentation materials; takes and transcribes meeting minutes, and prepares summaries for distribution.
  • Conducts and coordinates assigned projects and research studies; identifies and resolves problems.
  • Composes correspondence and other documents on a wide variety of subjects requiring knowledge of the procedures and policies of the Department; creates, proofreads, edits and processes correspondence, memoranda, letters, legal documents, information packets and other communications. Maintains department files and library; collects and compiles statistical data; develops and creates a variety of technical and statistical reports; updates manual and computer records and tracking systems, and assures the accuracy of databases; creates management reports; maintains filing procedures.
  • Updates electronic files and databases.
  • Assures all administrative actions are in compliance with County policy, procedures and guidelines. Develops technical documents as needed; assists with development of annual budget, reviews monthly financial reports, researches questionable charges, and posts them. Answers phones, resolves problems, and provides answers and customer service requests within scope of authority; routes calls to appropriate individuals, takes and delivers messages. Picks up and delivers mail and interdepartmental correspondence. Processes travel requests, memberships, and subscriptions. Coordinates the setup of webinars with ITC, Customer Service, and attendees. Provides advice and assistance on compliance with laws, rules and regulations.
  • Orders office supplies through MCDOT Central Store. Places purchase orders through purchase tracker system. Serves as a backup administrative assistant to the Transportation Advisory Board. Serves as a backup administrative assistant to other Divisions within MCDOT as required

Skills Required

  • Skill in: reading and understanding county, state and Federal rules and regulations. assessing and prioritizing multiple tasks, projects and demands. operating a personal computer utilizing a variety of business software.
  • Communicating clearly and concisely, both verbally and in writing writing accurate reports, documents and correspondence. working independently and as a team member, maintaining composure, and working effectively in a high-pressure environment with changing priorities. Ability to: operate computer equipment and use software programs to complete required paperwork, reports, email correspondence, conduct research on the Internet and perform other administrative tasks.

Experience Required

  • High school diploma or GED and two (2) years of work experience performing clerical and administrative office duties.

Experience Preferred

  • Preferred education and/or experience: Three (3) or more years of work experience performing clerical duties, customer service and/or administrative support. Experience providing clerical support to engineering divisions and/or high level executives.
  • Experience taking and transcribing meeting minutes. Experience maintaining calendars in MS Outlook. Preferred training, certifications and/or other special requirements: Experience using ADP, Microsoft Excel, Word, Access, or PowerPoint.

Education Required

  • High school diploma or GED and two (2) years of work experience performing clerical and administrative office duties.

Additional Information

  • The current employee is out on medical leave. Must be able to work in a normal, indoor office environment, must have manual dexterity of hands and body to operate office equipment; must be able to manage frequent interruptions, time pressures, high work volumes, multiple and complicated tasks, unscheduled tasks, team-oriented activities, prompt decision-making and interaction with government officials and the public; must constantly maintain concentration, accuracy, ethical behavior and a professional demeanor.
  • Must be able to climb, crouch, bend and lift/carry up to 50 pounds over short distances.
