Minimum Qualifications

Transfer Opportunity:

Candidates must have permanent status as an Office Assistant 1, Grade 6, and eligible for a lateral transfer, OR be eligible for transfer under Section 70.1 of the Civil Service Law.

55b/c Opportunity:

Individuals certified eligible for the 55b/c program under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55b/c of the Civil Service Law will also be considered. Please provide a copy of your letter of eligibility with your response.

Provisional Opportunity:

Candidates do not need to be employed by New York State in order to be eligible for provisional appointment to this position and may apply if they are interested. There are no minimum education or experience requirements for this title.

Candidates appointed provisionally must take the next Civil Service examination for this title and their score must be reachable on the resulting eligible list before they can be permanently appointed. Candidates who do not pass the examination or do not achieve a reachable score may not be retained in the title. At this time, a date for the Office Assistant 1 (Beginning Office Assistant) examination has not been announced.

Duties Description

The New York State Office of Mental Health (OMH) is recruiting to fill an Office Assistant 1, Grade 6, position assigned to the Office of Counsel, which administers legal advice and support for OMHs Central Office, 22 psychiatric centers, 2 research institutes, and 1 secure treatment and rehabilitation center. The incumbent will provide administrative support to the Deputy Commissioner & Counsel and other attorneys in support of office operations. Specific duties to be performed may include, but are not limited to the following:

Open, review, sort and distribute the mail; log and track correspondence and update the mail log.

Answer the telephone and direct calls to the appropriate staff member; take messages as needed.

Assist in maintaining scheduling and calendars of meetings for Office staff. Reconcile and submit travel and purchasing requests in the Statewide Financial System (SFS).

Prepare routing correspondence as needed.

Assist with the maintenance of litigation and hearing files and utilize the Offices litigation tracking system to log in new litigation.

Assist in providing phone coverage and mail distribution for other Executive Team administrative staff as needed.
