Position Summary:
CallMiner is looking to hire a talented, motivated and ambitious individual for a hybrid Office Manager/AP Specialist role to join our growing team. The ideal candidate for this position will be a creative problem-solver looking to grow within a thriving business. In this role you will be responsible for Accounts Payable, Office and Admin needs.


Responsibilities:

Manage daily office operations:

Responsible for office supplies and equipment ordering.

Perform general administrative support to Leadership team.

Process all incoming/outgoing mail, shipments and deliveries.

Point of contact for office vendors.

Monitor main phone line.

Audit Travel and Expense

Facilities Management Support

Assist with Human Resources (new hire onboarding) and other departments as defined.

Plan and order catering requests

Accounts Payable:

Receive, process, and audit vendor invoices. Match invoices to purchase orders and obtain the required management approvals prior to payment.

Create purchase orders as requested and coordinate required management approvals.

Maintain accounting ledgers by verifying and posting accounting transactions.

Work closely amongst departments to coordinate efforts pertaining to the AP cycle.

Monitor AP inbox on a daily basis.

Review submitted employee expense reports within the AP platform for appropriate support and GL coding.

Process bimonthly check/payment run.

Post customer invoice payments.

Assist with the annual 1099 process.

Participate in the month-end close process and assist with the annual financial statement audit.

Maintain current W-9 information for active vendors.

Identify and accrue Use Tax when applicable.

Respond to and resolve vendor inquiries such as payment status of invoices, unapplied credits, invoice discrepancies, etc.

Participates as needed in special projects and performs other duties as assigned.

Requirements

Required Skills & Qualification:

At least 3 years of relevant experience

Ability to maintain a high degree of confidentiality.

Passionate self-starter that is resourceful, a quick learner and a team player

Excellent and confident written and verbal communication skills

Demonstrated sense of urgency, meeting deadlines, proactive thinking, and multitasking are essential.

Strong time management skills

Knowledge using Concur and Intacct a Plus

Proficient user of MS Office (Excel, Word, PowerPoint, Outlook)
