We specialize in masonry and concrete restoration, as well as preventative waterproofing of buildings and structures. We have offices across the country and our Orlando branch located in Winter Park, FL has an opportunity available for an Office Manager!

POSITION SUMMARY:

Qualified candidates should be self-motivating, multi-tasker that enjoys a fast paced ever changing environment. Thorough knowledge of Windows applications is strongly preferred with the ability to develop spreadsheets in Microsoft Excel. Good written and verbal communication skills are essential.

Position includes but is not limited to implementing marketing initiatives, performing takeoffs (from blueprints and existing structures), developing estimates and client proposals, administering contracts, developing project schedules, communicating customer updates, and monitoring projects. In addition, you will be required to prepare customer billings and assist in collection efforts as necessary. This will all be done while developing and maintaining relationships with our customers, architects, engineers, owners, and general contractors. Your training progress will be monitored by your Branch Manager with regular review sessions to ensure your understanding of Westerns objectives.

RESPONSIBILITIES:

  • Follow training plan designed by branch management.
  • Assist with the implementation of the branch marketing goals and action plans to educate new and existing customers about the services we provide.
  • Provide administrative assistance to the branch, such as job scheduling, customer updates, generating proposals, assistance with bid preparation, project submittals and special projects
  • Provide estimate and field take off assistance to provide proposals for customers to maximize volume and profitability.
  • Interact with Superintendent and Foreman to ensure customer/contact requirements and timelines are met.
  • Document, coordinate and communicate any project change orders to field and customer.
  • Ensure customer job files are maintained and complete.
  • Ensure accurate and timely billings and assist in collection efforts as required.
  • Contribute to operating effectiveness by developing internal and external branch relationships.
  • Communicate to the team and conform to corporate standard operating procedures (SOPs)
  • Assist with payroll and travel accommodations as needed.
  • Gather information and prepare various financial and general reporting as required.
  • Respond to customer inquiries, where possible in conjunction with the operational team
  • Assist the Region Controller with interim and year-end audit procedures and information requests.
  • Provide administrative assistance to the branch, such as job scheduling, customer updates, generating proposals, assistance in bid preparation, project submittals and special projects.
  • Review and manage compliance of subcontract documentation, insurance requirements, and bonds.
  • Review payables in system against vendor statements and follow-up with vendors for missing invoices
  • Meeting planning, conference room setup, conference call setup, etc.

Requirements

  • Bachelors Degree required.
  • 4+ years of experience with Accounts receivable and Accounts payable is preferred.
  • Mathematically competent
  • Strong PC skills and Microsoft office products - MS Excel proficiency required.
  • Good Communicator with ability to deal with a variety of situations at the branches.
  • Good organizational skills & detailed oriented
  • Knowledge of subcontractors, subcontract agreements and certificate of insurance is preferred.
  • Good follow up skills
