Discovery Education is looking for an Office Operations Specialist to join our Corporate Operations team. We are looking for a high-energy, solid performer who shares our passion for ensuring the success of our mission, vision and value. This individual should be dependable, experienced in a front facing role, having a strong work ethic driven by a sense of urgency, great organization skills, and ability to work in cross functional areas.

You will provide support to the manager of operations and handle the front desk reception of the organization. Responsibilities include administrative functions such as office operations assistance and clerical tasks that aid the daily business operations.

This role will sit in our Charlote NC, Headquarters with a hybrid schedule (3-4 days in office).

What You Will Do

  • Operate the front desk reception, receive and welcome guests and visiting employees, manage office badging and security systems.
  • Manage shipping and receiving including sorting and distributing mail.
  • Assist with administrative tasks including the use of office technology to keep the office running smoothly.
  • Place orders for office supplies and maintain office snacks inventory.
  • Perform routine housekeeping within office suite including conference rooms, kitchen and common areas.
  • Manage and maintain office floorplan.
  • Provide general office notifications related to property management news and activities including communicating as needed relevant information to staff.
  • Liaisons with building management in matters of facilities, security and emergency response
  • Serve as a safety team member, assisting during emergency situations and evacuations while informing colleagues of evacuation routes and additional safety procedure.
  • Help facilitate internal and external meetings including but not limited to material prep, catering food orders and coordinating onsite and offsite events.
  • Accounting and finance support such as purchasing, billing, and reporting.
  • Help with expense auditing/reporting system.
  • Coordinate with Human Resources regarding candidate interview travel logistics and onboarding new employees.
  • Assist in planning and organizing conferences, events, and employee engagement activities.
  • Assist with executive calendars, travel and expenses when needed.
  • Projects and other duties as assigned.

Requirements

  • Passionate about Discovery Education's vision to transform teaching and learning.
  • Experience in education or ed-tech industry a plus.
  • 2+ years of experience in office management or an administrative role.
  • Proficiency in Microsoft Office.
  • Proficiency in Adobe a plus.
  • Experience in Concur or other similar expense and reporting tools a plus.
  • Excellent written and oral communication as well as strong interpersonal skills.
  • Solution-oriented team player with the ability to work as part of a team in a fast-paced, high-energy environment.
  • Driven self-starter with the ability to do what needs to be done without being micromanaged.
  • Ability to manage/prioritize multiple tasks.
  • Demonstrate a problem solving/solution-oriented approach.
  • Legal right to work in the United States.
